Summary:

The Administrative Assistant provides administrative support to the office of the CEO. Responsible for planning meetings, generating reports, preparing meeting materials, conducting research, and liaising/communicating with internal business partners and vendor partners.

Education and/or Experience:

* Bachelor's Degree required or a minimum of eight years directly related experience required

* Minimum two years previous experience as an Executive or Administrative Assistant and familiarity with office management and technologies required

* Proven experience providing support to executives with exceptional organizational, administrative, and interpersonal skills, a keen attention to detail and a sense of urgency in execution and follow-up

* Expert level oral and written communication skills commensurate with C-suite interactions required

* Strong attention to detail with emphasis on accuracy, quality, timeliness and follow through

Job Duties:

* Organizes and maintains complex calendars using a high level of tact, influencing and integrity, including scheduling across multiple time zones

* Screens calls and responds to or routes routine inquiries from external or internal sources with appropriate correspondence or other messaging

* Strategically prioritize executive schedules, ensuring leaders are fully prepared for each day's objectives and engagements

* Coordinates board materials, preparing high-impact presentations and ensuring seamless distribution

* Books meeting rooms and coordinates presentations, catering and audio-visual needs

* Manages end-to-end expense reporting and invoicing processes including submissions, review and monthly processing

* Participates in crucial projects and initiatives, leveraging insight to drive impactful results across the organization

* Prepares and distributes reports or other communications on a regular schedule.

* Maintains files, databases, and archives of relevant records

* Support various ad-hoc projects as needed, including through substantive participation in meetings and use of MS Word, Excel and PowerPoint skills

* Create PowerPoint presentations; utilizes Microsoft and Google applications

The good faith range for this position is $27.00 to $33.00 an hour. This range is an estimate, based on potential employee qualifications and operational needs. The salary may vary above and below the stated amounts, as permitted by applicable law.
