The Alaka`ina Foundation Family of Companies has a need for an Administrative Assistant to support our government customer located in Albuquerque, New Mexico.

The ideal candidate will possess exceptional communication skills and demonstrate the ability to navigate the complexities of the governmental environment. As the Senior Administrative Specialist, you will be pivotal in ensuring that the executive functions efficiently and effectively, requiring a deep understanding of governmental protocols and procedures. Your role will involve managing communication, scheduling, and strategic planning, all integral to the operations of our department. By being the primary point of contact for internal and external stakeholders, you will facilitate the smooth execution of projects and initiatives that align with our organizational goals. The successful candidate will bring a strong sense of professionalism, discretion, and the ability to handle sensitive information with confidentiality. Furthermore, you will be instrumental in coordinating meetings, preparing reports, and enhancing the overall productivity of the executive team. DESCRIPTION OF RESPONSIBILITIES:

+ Manage leadership schedules, appointments, and travel arrangements with a high degree of professionalism and confidentiality.

+ Draft, review, and edit correspondence, reports, and other documents for the executive team.

+ Coordinate and facilitate meetings, including agenda preparation, minute-taking, and follow-up on action items.

+ Serve as the primary liaison between executives and internal/external stakeholders, ensuring effective communication and collaboration.

+ Conduct research and compile data to support decision-making processes and strategic planning initiatives.

+ Maintain organized records and files, ensuring accessibility and confidentiality of sensitive information.

+ Assist in the preparation of presentations and other materials for meetings and special events.

+ Other duties as assigned.

REQUIRED DEGREE/EDUCATION/CERTIFICATION:

Bachelors degree

REQUIRED SKILLS AND EXPERIENCE:

+ Proven experience as an executive assistant or in other administrative roles, preferably within government or public administration.

+ Excellent verbal and written communication skills, with a keen attention to detail.

+ Strong organizational skills and the ability to manage multiple tasks and projects simultaneously.

+ Proficiency in office software, including Microsoft Office Suite and project management tools.

+ Demonstrated ability to exercise discretion and maintain confidentiality in all interactions and communications.

+ Strong problem-solving skills and the ability to make sound judgments in a fast-paced environment.

+ Flexible and adaptable, with a proactive approach to challenges and a commitment to excellence in service.

DESIRED SKILLS AND EXPERIENCE:

Experience in a scientific research environment or a Federal agency is preferred

REQUIRED CITIZENSHIP AND CLEARANCE:

+ Must be a U.S. Citizen

+ Secret Clearance eligibility required
