General Overview The primary responsibilities of this role involves managing financial transactions and handling diverse administrative duties to ensure smooth operations among our organization. Typical Duties and Responsibilities:
  • Utilize QuickBooks to enter and maintain accurate information of accounts payable transactions.
  • Collaborate with vendors and departments to execute and resolve payment issues.
  • Verify invoice details against purchase orders (PO's) and route for approval to relevant personnel.
  • Perform diverse administrative duties, such as correspondence and maintaining confidential files/records.
  • Organize and file paid bills.
  • Work closely with Field Staff regarding timesheets, monitor credit card usage, and other company software.
  • Assist in the new hire onboarding process.
  • Work closely with Drivers, Shop Employees, and the Safety Department to manage DOT Compliance, vehicle maintenance records, fuel information, insurance updates, and new vehicle/equipment purchases.
  • Welcome visitors, answer phone calls/take messages, maintain receptionist area, and provide customer service.
Required Skills and Experience:
  • High School Diploma/GED or equivalent.
  • Experience with Microsoft Office Platforms - Outlook, Excel, Teams, etc.,
  • Strong communication skills, attention to detail, organization, and multi-tasking.
  • Basic understanding of Bookkeeping principles, primarily QuickBooks.
Preferred Skills/Experience (Not Required)
  • Degree/Certification in Bookkeeping or Finance
  • Experience with the QuickBooks Platform
  • Customer Service experience
