Administrative Assistant - One Stop Management

We are seeking a detail-oriented and proactive Administrative Assistant to support our executive team and help drive our day-to-day operations forward.
Key Responsibilities
Administrative Support:
- Perform a wide range of administrative duties to support executive management, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Handle correspondence, including emails and phone calls, ensuring timely responses and follow-ups.
- Draft, proofread, and edit documents, presentations, and reports.
Organizational Management:
- Maintain organized and up-to-date filing systems (digital and physical) to ensure quick access to documents.
- Assist in creating and managing processes to improve office efficiency.
- Track and manage office inventory, including ordering and restocking supplies as needed.
Project Management:
- Take ownership of ad hoc projects assigned by executive management, ensuring timely and high-quality completion.
- Research, compile, and analyze data to support decision-making and project initiatives.
- Coordinate with internal teams and external partners to streamline project deliverables.
Data Management & Reporting:
- Prepare, update, and manage Excel spreadsheets for tracking key business metrics and data.
- Generate accurate and timely reports using Microsoft Office Suite and other tools as needed.
- Identify and address discrepancies or inconsistencies in data and processes.
Team Collaboration:
- Act as a point of contact between executives and staff, fostering clear communication and teamwork.
- Provide general support to visitors and external stakeholders.
- Participate in team meetings, taking detailed notes and tracking action items to ensure accountability.
Qualifications
Skills and Experience:
- Proven experience as an Administrative Assistant or similar role, preferably in a fast-paced, professional environment.
- Strong proficiency in Microsoft Office Suite, especially Excel (pivot tables, formulas, data analysis).
- Excellent organizational skills with the ability to prioritize tasks effectively and manage multiple responsibilities simultaneously.
- Exceptional time management skills and the ability to meet deadlines consistently.
- Strong written and verbal communication skills.
- A high level of accuracy and attention to detail.
