Administrative Assistant

Company: Prequel is hiring on behalf of a flagship company in the greater Pittsburgh area.

Position Type: 3–6 Month Contract (Potential to Convert to Full-Time)

Compensation: Competitive W2 hourly rate, with health benefits starting on Day 1 during the contract period.

Work Schedule: Hybrid model – 4 days onsite and 1 day remote.

Location: Greater Pittsburgh Area

Ideal Candidate: Experience working with larger companies is preferred but not required.

About the Role:

We are seeking a highly organized and proactive Administrative Assistant to join a dynamic team. This position offers an excellent opportunity to support key operations and contribute to the success of a leading organization in the region.

Key Responsibilities:

  • Manage schedules and appointments with precision, ensuring seamless coordination for management and team members.
  • Prepare accurate and timely expense reports.
  • Open, sort, prioritize, and forward mail as needed.
  • Make travel arrangements and handle seminar or conference registrations efficiently.
  • Utilize Microsoft Office applications (Word, PowerPoint, Excel, Outlook) to produce professional-quality reports, presentations, and documents.
  • Anticipate and prepare materials required for management's meetings, conferences, correspondence, and calls.
  • Respond to routine correspondence independently, following established procedures.
  • Collect, compile, and analyze moderately complex data for inclusion in reports or presentation materials.

Skills & Qualifications:

Required Skills:

  • Proficiency in using a Windows-based PC (Windows 10/11).
  • Advanced knowledge of Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).
  • Familiarity with Microsoft Teams or equivalent collaboration tools for virtual meetings.
  • Strong interpersonal skills with the ability to work cooperatively with clients, coworkers, and vendors.
  • Effective communication skills across multiple mediums, including in-person, email, instant messaging, and phone.
  • Proven ability to multitask and manage priorities effectively in a fast-paced environment.

Preferred Experience:

  • Previous experience working in large organizations.
