Job TaskThe incumbent provides general office support with a variety of clerical activities and related tasks. The incumbent is responsible for supporting staff by answering incoming calls, directing calls, mail distribution, flow of correspondence, ordering office supplies, point of contact for vending machines/coffee supplies and assisting with projects as needed.Duties and Responsibilities
- Operates telephone switchboard to answer, screen, or forward or direct calls, providing information, and taking messages
- Maintains quality paperwork and checklists
- Files, scans, and maintains records
- Supports staff by preparing documents using computer, mail, or the facsimile machine
- Provides general information about the company, such as directions to the facility, hours of operation, etc.
- Maintains a clean, safe work area
- Other duties as assigned
REQUIRED JOB SKILLS
- Professional office support experience
- Strong PC/Systems knowledge/experience
- Proficiency in MS Office products
- Proven record of job diligence and attention to detail
- Demonstrated ability in written and verbal communication; clearly and professionally
- Demonstrated organizational, interpersonal and time management skills
- Demonstrated comfort level in interfacing with various levels of staff and management, while working in a fast paced environment
- Active Listener- Giving full attention to what others are saying or inquiring about
- Ability to maintain a service-oriented attitude; actively looking for ways to help
QUALIFICATIONS
- GED or high school diploma
- Demonstrated ability to follow written and verbal instructions
- Ability to work independently or with a team
