No County Albany Street Address 80 South Swan Street City Albany State NY Zip Code 12247 Duties Description The New York State Senates Student Programs Department is seeking a discrete, detail-oriented individual with strong problem-solving skills to join their team as an Administrative Assistant. The Administrative Assistant will perform administrative tasks and services to support effective and efficient operations of the Student Programs Department, providing high-level support to the Director of Student Programs, Deputy Director of Student Programs, and Work-Based Learning Program Director. In this dynamic role, you will wear multiple hats:Administrative Contributions:Answer frequently asked questions from applicants and internship program participants relative to standard policies, hiring processes, etc.Maintain the integrity and confidentiality of files, records, and information that pertains to program applicants and participantsManage supply orderingPerform other duties as assignedParticipant Onboarding Contributions: Assist with multiple aspects of the programs onboarding process including, but not limited to:Assist with the acceptance and notification process for program applicantsTrack and maintain a spreadsheet of applicant information Assist managers with new hire orientation, including program scheduling and reserving spaceWebsite and Social Media Contributions:Regularly update all program information provided on Student Programs websiteManage and update social media content to promote and provide program descriptions, applications, videos, and highlight students accomplishments Assist with expanding social media presence through increased post volume and strategic posts that increase the number of users and post reachStudent Programming Contributions: Assist with multiple programmatic aspects, including:Process required participant paperwork through the course of the programAssist Senate Fellows and Session Assistants with housing and program related questionsProvide support with the Model Legislative Session componentCommunicate to program participants with reminders for seminars, assignments, and timesheet deadlines Minimum Qualifications The most ideal candidate will have the following skills and competencies:Excellent verbal, written, and organizational skills including strong presentation skillsStrong interpersonal skills with the ability to manage sensitive and confidential information with tact, professionalism, and diplomacyProactive and independent with the ability to take initiativeExcellent time management skills with a proven ability to meet deadlinesAdept with a variety of multimedia training platforms and methodsAbility to take on and manage competing prioritiesPrior legislative internship experience a plusMinimum Qualifications Include:Bachelors DegreeProficiency with Microsoft Office Suite and related program softwareExperience with social media marketing techniques, platforms, and how to increase number of users/followers a plus Additional Comments This is a full-time position, Monday through Friday, 9:00 AM to 5:00 PM.
