We are currently looking for an Lab Administrative Assistant to join our growing team! **This is a temporary 3-6 month contract role.** JOB SUMMARY Under the direct supervision of the Instrumentation Supervisor, this position provides administrative support for the Instrumentation Department. ESSENTIAL RESPONSIBILITIES Prints out workbooks and assembles them for use in the lab. Prints FDA worksheets for analysts, prints out pictures and other pertinent documents to be assembled for FDA reports. Link pictures to each sample number for FDA projects. Scan documents for the FDA worksheets to the other CL divisions. Be familiar with the LIMS system and all the A codes. Send samples to outside labs and report results upon receipt. Manage the outside laboratory spreadsheet which designates lab, price of testing, how much sample is needed and the contact information. Order all materials, reagents and standards for the department. Log the standards and reagents into the receiving log and obtain a Certificate of Analysis when needed. Request quotes via email or telephone from outside labs or vendors. Contact vendors and initiate the quotes. Keep track of all packing slips and associated purchase orders and send to the Accounts Payable department. Perform gas inventory on a weekly basis and order refills when necessary. Lab Champion for the in-house RIMS system. Coordinates receiving of all items, updating replenishments when needed and liaison with vendor. Other duties as required. MINIMUM QUALIFICATIONS High School Diploma or GED Proficiency in MS Word, Excel, Outlook and the Internet. Excellent verbal and written communication skills. Professional appearance and telephone manner. Good oral and written communication skills. Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines. Must be able to work in a fast-paced environment with demonstrated ability to juggle and prioritize multiple competing tasks and demands and to seek supervisory assistance as appropriate.
