About the job Administrative Assistant The company is seeking a knowledgeable Administrative Assistant for payroll, accounts payable, HR, driver qualification, and safety records management. Must be able to use accounting software with accuracy and efficiency. Detailed and trusted with sensitive payroll & accounting information. Solid understanding of accounting fundamentals and payroll best practices. Proficient in MS Products and good knowledge of relevant software (e.g., QuickBooks).Responsibilities include:
  • Compile employee time, production, and payroll data from timesheets and other records (regular hours & overtime, days off & vacation tracking).
  • Perform duties associated with weekly payroll processing for salary and hourly employees.
  • Manage & maintain Driver Qualification files for company drivers and owner/operators. Including, but not limited to, processing job applications, pre-employment screening, background and reference checks, drug tests & medical exams, driving records
  • Ongoing management of the Driver Qualification Records in accordance with Federal Motor Carrier Safety Regulations.
  • Manage the owner/operator qualification process and maintain owner/operator compliance records.
  • Data entry and filing for employee files
  • Maintenance of multiple databases with employee information
  • Process A/P and reconcile invoices for payment to vendors and suppliers.
  • Clerical and administrative functions within the accounting department
  • Perform additional assignments per the supervisor's direction.
Skills, Knowledge, Qualifications, and Experience:
  • Bachelors degree and/or equivalent knowledge and experience preferred
  • Demonstrated Payroll Experience (2+ years).
  • Experience in trucking is a Plus
  • Able to use Microsoft Office Suite, various technology, and web-based software.
  • Experience with Excel at better than average skill range (required)
  • Experience with QuickBooks (preferred)
  • Must be able to work independently based on periodic guidance and direction - with excellent organization, accuracy, and follow-up skills.
  • Time Management: effectively working on multiple tasks at a given time and maintaining high performance on each job.
  • General knowledge of DOT regulations preferred
