They create a welcoming, trauma sensitive, culturally informed atmosphere and provide general program information to clients, families, and the community. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.ESSENTIAL DUTIES AND RESPONSIBILITIESinclude the following. (Other duties may be assigned)
  • Provide administrative support to all members of the team & program.
  • Provide customer service via phone and in-person in a manner that is trauma informed, culturally informed, and supportive of client and family engagement with FWC services.
  • Maintain welcoming and friendly attitude and work environment.
  • Receive and process new client referral and eligibility paperwork. Keep referral status updated and maintain regular communication with clients/referral sources.
  • Assemble intake packets for all new clients.
  • Open/close client cases in Netsmart and maintain electronic charts updated according to medical record protocol.
  • Ability to multi-task and maintain flexibility with all job duties.
  • Maintain tidiness and cleanliness in the reception area.
  • Collect payments and co-pays as needed.
  • Maintain accurate and current forms, files, & supplies.
  • Attend scheduled staff meetings.
  • Schedule all intake appointments for therapists; support with cancelling/rescheduling appointments.
  • Provide reminder calls to families for scheduled weekly appointments.
  • Assist program with quality assurance and audits of medical records.
  • Check Medi-Cal eligibility for all program clients monthly.
  • Perform special projects, assignments and other related duties as required for Family Wellness Center services and SDCC operations.
  • Assist with the expansion of the Family Wellness Center outpatient services. Brings forth ideas for program development and improvement. Engage in ongoing collaboration and proactive communication regarding procedures and protocols for office, as requested by Program Manager or Program Coordinator.
LANGUAGE SKILLSAbility to read and manage medical records, reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the agency/community. Clear written and oral communication skills are very important. Spanish language a plus.REASONING ABILITY Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret and manage a variety of instructions and deal with several abstract and concrete variables. Ability to creatively problem solve when rules are not defined.PHYSICAL DEMANDS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to stand, walk, sit, use hand to finger, or feel, reach with hands and arms, and talk or hear. The employee must occasionally lift up to 25 lbs when necessary. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, and ability to adjust focus.WORK ENVIRONMENT The work environment is a children's outpatient mental health clinic environment with low to moderate noise level. During high volume times, the front lobby can be hectic, and require employee to remain focused. Ability to prioritize, tackle multiple projects, and manage time effectively is imperative. QualificationsMINIMUM REQUIREMENTS:
  • Associate of Arts degree or equivalent from two-year college or technical school or 1-year related experience and/or training; or equivalent combination of education and experience
  • Valid California Driver's License
  • Good computer skills (Excel, Word, Databases)
  • One year minimum related experience and/or training
  • High level organizational skills
  • Available to work evening hours at least 2-3x per week
  • Trauma Informed training
PREFERRED REQUIREMENTS:
  • Bilingual in Spanish (pay increase available for Spanish fluency)
  • Bachelor's Degree from an accredited university
  • Proficient in Netsmart or equivalent medical record system
  • First Aid CPR Certification
