As the Administrative Assistant, you will provide essential clerical and administrative support, ensuring a well-organized office environment while assisting senior leaders and managing communications, travel, and events. Your contributions will be vital to maintaining an efficient and professional atmosphere.Our Ideal Candidate:
- Proficient in Microsoft Word, Excel, Outlook, PowerPoint, and Adobe Acrobat.
- Excellent organizational skills, with the ability to establish and maintain priorities.
- Strong interpersonal skills that demonstrate a service-oriented attitude.
- Ability to communicate clearly and cordially in verbal and written interactions.
- Creative problem solver who can develop approaches under pressure and meet deadlines.
- Ability to prioritize multiple tasks and adjust to immediate needs while fostering a positive team environment.
How You Will Spend Your Day:
- Provide front-desk coverage by managing a busy phone system, greeting guests, handling incoming/outgoing mail, and maintaining an organized office.
- Deliver administrative support to senior leaders, including email correspondence and generating and distributing spreadsheets, forms, and faxes.
- Prepare, type, proof, copy, distribute, and file correspondence.
- Manage financial and office record-keeping.
- Process donations and distribute them to the appropriate personnel.
- Maintain supplies inventory, anticipate needs, and place orders.
- Order and oversee food and other deliveries.
- Maintain office equipment.
- Coordinate and schedule travel, reservations, and appointments.
- Assist with special events as necessary.
