High school graduate or equivalent. Must be detail oriented. Ability to organize work and projects. Ability to take initiative and work independently without direct supervision. Ability to maintain confidential information. Familiar with office procedures and offices equipment. Demonstrated computer experience with word processing, database, and spreadsheet applications (for example Microsoft Office, including Word, Excel and Power Point; Gmail; and Google Docs) Ability to work under stress in critical emergency situations. Ability to maintain positive public relations with staff, vendors and the community. Excellent oral and written communication skills including document and letter preparation. Ability to set, manage, and coordinate multiple priorities. Past attendance and job performance records must be satisfactory to administration. DUTIES AND RESPONSIBILITIES
Provide customary secretarial support to operations group. Carries out the general office duties such as: monitor budgets, statistical records, purchase orders, accounts payable, generate correspondence and payroll using the Wayne RESA SMART software system. Processes check requests and purchase orders as requested. Carry out notification process following established guidelines for building emergencies to appropriate personnel. Monitor payroll/overtime timesheets. Maintain a database for all district work orders, including the School Dude work order management system. Maintain/develop spreadsheet for all operation accounts payables, including utility usage. Maintain/develop reports for all departments that use fuel pumps at Transportaion. Provide daily work schedules for operations staff and technicians. Provide final accounting of all bills to work orders. Assist with secretarial support of the bond and general fund capital improvement expenditures for approximately 2.7 million square feet of buildings and site improvements. Bending, lifting, and overhead work required. Performs other duties as assigned.
