Park Place of Elmhurst, a nonprofit five-star senior living community, is located across from Endeavor Health Elmhurst Hospital. Our 16-acre arboretum-designated campus offers 180+ customizable 1-, 2-, and 3-bedroom independent living apartments and a full continuum of care, including assisted living, short-term rehabilitation, skilled nursing, and memory support. We are seeking a full-time Administrative Assistant/Move in Coordinator to join our sales and marketing team for lifecare and fee-for-service apartments.We are owned and operated by Providence Life Services and offer a full benefits package which includes Medical, Dental, Life and AD&D, Vision, PTO, Extended Illness Bank (EIB), Retirement Match Program, and Tuition Reimbursement for those who have a school loan. We also offer a quarterly attendance bonus! The Marketing Coordinator will be working in accordance with established policies and procedures and/or specific instructions. This position is responsible for assisting visitors and prospective residents in a courteous and professional manner, performing administrative duties for the sales team, planning and executing sales events and activities and coordinating new resident move-ins.Responsibilities
- Responsible for supporting the management, assignment, and record inquiries in our CRM.
- Welcome prospects and guests to the sales office. Receive all persons who enter the sales office in a courteous and congenial manner, offers refreshments and provides answers to initial questions.
- Provide back-up support for sales team as directed to promote the sales process through ongoing contact with prospective residents
- Manage information relating to events and new move ins with the prospective resident; communication with administration and other team members to support the move
- Coordinate logistics for sales and marketing events, including invitations, RSVPs, coordination of themes, speaker, dining services, dcor, attendee gifts, other event day details and valet parking
- Prepare closing packets and coordinate all aspects pertaining to scheduling move-ins by effectively communicating with and supporting new residents as they prepare to move to our community.
- Meet with new residents to coordinate move-in details, apartment readiness and provide resource support as appropriate
- Manage the occupancy process from receipt of deposit to move in, helping to facilitate making the move to their new residence at Park Place as smooth as possible.
- In conjunction with sales team, coordinate apartment customization as requested, provides addendum to resident when modifying apartment and work to ensure resident has a complete understanding of the contractor approval process.
- Work with Physical Plant Director and Housekeeping Director to ensure completion of apartments. Keep all appropriate parties apprised of move-in dates and possible adjustments.
- Manage departmental reports and spreadsheets as required on a daily, weekly and monthly basis
RequirementsA bachelor's degree in Marketing, Business, Education, or Psychology is preferred. The ideal candidate will have excellent verbal and written communication skills, with the ability to effectively present in person, in writing, and over the phone to both large and small groups in English. Proficiency in Microsoft Office Suite is essential. Additionally, the candidate should demonstrate strong emotional intelligence, including the ability to build interpersonal relationships, empathize with others, and remain composed in challenging situations.EOE
