Position Duties: Essential Job Functions: 1. Serves as a point of contact and administrative support for the Directors of Employee Services and Finance & Operations. Coordinates and performs communications, record keeping, and filing for the Business & Employee Services Department. 2. Oversees the day-to-day office responsibilities of the Business & Employee Services Department including such things as: •Monitor supply inventory and process orders •Monitor and manage interdepartmental mail and communications •Coordinate and plan meetings and events, including welcoming visitors •Maintain schedules and calendars •Process and maintain bills and records related to the departmental budget 3. Works closely with the District's substitute vendor and serves as the District point of contact for the absence management system. 4. Serves as the backup for the District Services Center (DSC) receptionist. This includes absences, lunch, and work breaks. 5. Facilitates student-teacher placements and the Grow-Your-Own program for the district, working closely with the Talent Recruitment and Retention Personnel Specialist. 6. Facilitates the hiring and onboarding of District crossing guards and works closely with the municipalities in the coordination of this staff hiring, equipment, and training. 7. Coordinates staff photo IDs with district photographers. Set up photo dates, order supplies, and work with the photo company on any issues and processes. 8. Facilitates the Background Check process for school volunteers. Works closely with the school administrative assistants to organize and facilitate this process. 9. Completes employment verifications for staff. Qualifications 1. Education: Equivalent to an Associate degree. 2. Experience: Minimum of two years experience demonstrating mastery of office skills and procedures. Strong knowledge of Google Suite and Microsoft Office applications. 3. Bilingual skills (Spanish/English) preferred. Personal Attributes Required: Must be highly organized and be able to work with little direct supervision. Must be able to anticipate and plan ahead. Must be able to provide leadership and set a positive example in situations that are often stressful due to the high profile and public visibility of the program. Must be able to communicate well with others regarding sometimes sensitive and emotional matters. Must be enthusiastic and positive. Effective written and verbal communication skills are required. Must demonstrate a high level of initiative and ability to establish and maintain exemplary relationships by using well-developed and appropriate interpersonal skills. Must be able to maintain self-control under stressful situations and deadlines without exhibiting negative behaviors. Must have strong grammar, spelling, punctuation, and basic math skills and abilities.
