Library Administrative Assistant
The Library Administrative Assistant, reporting to the Dean of Library and Archives, assists in the Dean's oversight of the Wheaton College Library. This individual will serve in an office coordinator role at the Wheaton College Library part-time, with flexible hours and the option of summers off. The Library Administrative Assistant handles a wide range of tasks, interacts with library faculty and staff across the department and the college, but primarily serves in the context of the library.
Duties and Responsibilities
* Provides office support for the Dean, including dealing with administrative inquiries and problems, as appropriate; serves as a primary point of contact and liaison between the office, students, and external constituencies on a range of day-to-day issues.
* Organizes, schedules, and facilitates the Dean's calendar, organizational meetings and special events; takes minutes, and provides administrative support and follow-up on matters arising from appointments and meetings.
* Coordinates and oversees the management of supplies, equipment, documentation, and facilities for the organization, as appropriate, to include maintenance, inventory management, logistics, security, and related activities.
* Carries out and coordinates administrative activities associated with human resources, such as employee contracts and promotion of staff and faculty reporting to the dean.
* Provides accounting and bookkeeping functions as needed.
* Assists with library employment searches, campus visits, and special event planning.
* Participates as a member of the emergency response team and serves as the safety representative to communicate campus safety information back to library or division employees; also maintains current version of the library emergency manual.
* Provides support for the library's Acquisitions and Discovery Services team.
* Prepares division and Buswell reports, especially the annual and other reports for the Provost.

Qualifications
* 1-2 years administrative experience; experience in higher education setting preferred; library experience desired.
* Associate's degree required; Bachelor's degree preferred.
* Demonstrated capacity to be flexible, proactive, resourceful, creative, efficient, and accurate with data and detail.
* Evidence of build working relationships characterized by personal flexibility, consideration, teamwork, and collegiality.
* Proven excellence in communication skills, especially in writing and editing.
* Knowledgeable in Microsoft Office Suite (especially Outlook, Excel, and Word).
* Proven capacity to make effective use of technology and software.
Physical Requirements
The employee is regularly required to sit, talk, and hear; frequently required to use repetitive hand motion, stand, walk, reach, bend or lift up to 40 pounds.
