Job Description:
PURPOSE OF THE POSITION: To manage the front desk operations of the clinic.I. SPECIFIC RESPONSIBILITIES:
  • Greet and check clients' in/out for appointments, collect co-pays
  • Coordinate and schedule appointments
  • Answer phones, respond to emails/faxes
  • Answer clients' queries and ensure quality customer service
  • Update and maintain client records; document in EHR; data entry
  • Assist patients with initial paperwork
  • Work with insurance companies for authorization and billing.
  • Work collaboratively with clinic staff
  • Performs all duties as assigned

III. WORKING CONDITIONS:
  • This position is office based, evenings and weekends
  • Administrative Assistant may and will be required to provide coverage for other programs as needed.
IV. SCOPE OF RESPONSIBILITY:
  • This position performs a wide variety of routine clerical/administrative task for a mental health clinic. Must be able to manage clients and respond to crisis as needed with the support of the clinicians on site.
V. QUALIFICATIONS:
  • One year of experience performing general clerical work/administrative task.
  • Possession of a High School diploma or G.E.D. Certificate.
  • Understanding of managed care or Medicaid/Medicare, preferred.
  • Experience with Microsoft Office for Windows applications (word, excel, outlook, etc.) required.
  • Database management experience required.
  • Tech savvy & proficiency in general office equipment operation required.
  • Communicate clearly and concisely, both orally and writing
  • Learn office methods, rules, policies, ordinances and resolutions
  • Understand and carry out oral and written directions
  • Excellent organizational and problem-solving abilities.
  • Ability to work independently and in a team setting.
  • Ability to effectively manage multiple tasks.
  • Customer service-oriented attitude.
