Job Type Part-time Description Join an energetic, patient-focused team! Heartland Imaging is seeking an experienced administrative assistant for a part-time flex position at our outpatient imaging center in Louisville, KY, Monday, Wednesday, and Friday from 8:00 am to 4:30 pm.JOB SUMMARY: Under the direction of the Administrator, the Administrative Assistant:

  • Performs administrative and office support functions at the discretion of the leadership team.
  • Serves as part of the imaging center team and seeks and provides feedback for improved clinical practice.
ESSENTIAL JOB FUNCTIONS:
  • Handles HIPAA-sensitive information and recognizes the importance of these regulations.
  • You may perform courier services if the center does not utilize a dedicated courier. Courier services include, but are not limited to, transporting film, CDs, etc., to referring physician offices.
  • Proficiently maintains and uses knowledge of office equipment including, but not limited to, fax machines, computers, and printers.
  • Creates proofs and distributes written correspondences, i.e., Newsletters, memos, etc.
  • Coordinates notifications for new referring practices and facilitates correspondence and mailings with guidance from the Marketing Manager or Administrator.
  • Provides new employees with Welcoming materials and photographs at orientation.
  • Coordinates, creates, proofs, and orders marketing pieces and center-wide forms.
  • Assists with maintaining office inventory.
  • Proficient use of Microsoft Office products to create, update, and maintain documents, reports, presentations, and databases.
  • Coordinates and assists with planning center events, luncheons, etc.
  • Maintains working knowledge of Imaging Center (and Medical Center, when applicable) policies and procedures.
  • Assists and maintains other established procedures as directed, such as invoice processing, ordering of supplies, preparing reports, data input, and tracking.
  • Assists with special projects as needed.
  • Takes the initiative to help other modalities/areas of the Imaging Center as assigned or when own workload/area allows.
  • Participates in performance improvement activities.
  • Participates as a team member and is accountable for their work responsibilities.
  • Demonstrates consistent use of AIDET (Acknowledge patient, Introduce yourself, provide Duration/timeline for test, Explain the process & Thank them for choosing the center) and HEAL (Hear them out, Empathize, Apologize, & Leap into action to solve) when interacting with patients/customer.
  • Attends/participates in staff meetings, in-services, & center-wide meetings as scheduled.
  • Performs all other duties as assigned.
Requirements EXPERIENCE:
  • Office, business, and customer service experience required.
  • Medical office experience preferred.
EDUCATION:
  • To be competitive, a minimum of two years of clerical or administrative experience is required.
LICENSE/CERTIFICATION REQUIREMENTS:
  • None required.
SKILLS/ABILITIES:
  • Ability to work independently and multitask.
  • Ability to provide documentation accurately and concisely.
  • Proficient in Microsoft Office Software.
  • Knowledge of medical and radiology terminology.
  • Knowledge of Microsoft Office, including Word, Excel, and PowerPoint.
