Description

Seeking a highly qualified candidate to fill a part-time (20 hours per week) position of Administrative Assistant to the Aviation Director and the Aviation department at the Eastman hangar at the Tri-Cities Airport in Blountville, TN. The ideal candidate is flexible, proactive, and professional with demonstrated capability working in a high-energy, team-oriented environment. Must demonstrate ability to effectively plan, schedule, and organize. This position will be the primary backup for the Corporate Flight Scheduler. Candidate must show strong attention to detail and possess exceptional communication, organizational and interpersonal skills. Strong interpersonal skills are necessary for working with people at all levels within Eastman. Maintaining professionalism and exercising integrity in handling highly confidential information at all times is a necessity. Minimum of 3 years of administrative experience is required.

Responsibilities

+ Manage daily communication including telephone, mail and email.

+ Place orders for office supplies and aviation parts as needed.

+ Monitor property security and gate entrance. Screen all persons requesting access to Eastman Aviation Operations area.

+ Coordinate Department team meeting and record minutes.

+ Assist pilots with any travel needs that many arise.

+ Back-up Corporate Flight Scheduler as needed.

+ Maintain organized records for time entries.

+ Enter and approve timesheets in Workforce in a timely and efficient manner.

+ Process all Eastman Aviation invoices by coding with correct cost center and cost element.

+ Reconcile 3 purchasing cards in Concur allocating them to the correct cost center and cost element.

+ Work with accounting as needed to ensure all payments are handled in a timely and efficient manner.

Qualifications

+ High School Diploma required

+ Minimum 3+ years administrative experience required

+ Excellent organizational, interpersonal, oral and written communication skills.

+ Exceptional attention to detail, with the ability to produce accurate, error-free work.

+ Knowledge of Microsoft Word, Excel, Sharepoint and PowerPoint skills.

+ Capability of maintaining discretion and confidentiality.

+ Ability to handle and prioritize multiple tasks simultaneously in a deadline-driven, fast-paced environment.

+ Follow through skills.

+ Patience and pleasant interaction with others; service oriented.

+ Ability to take initiative and assume responsibility for the Corporate Flight Scheduler.

+ High degree of professionalism.

+ Excellent judgment and decision-making skills.
