The AFT believes that a culturally diverse workforce advances our mission and we strongly encourage applications from under-represented communities of workers.Position Summary:The administrative assistant will support two Directors, a Deputy Director, and support the political department, PIPE, and SAPO programs. Position Responsibilities:
  • Maintain the Deputy Director and staff schedules.
  • Arrange for staff travel to/from campaign assignments including processing release time for staff and retirees, vendor contracts, payments and disbursements.
  • Provide support for programs, meetings and conferences.
  • Provide support for Partners in Political Education (PIPE) Program and the tracking of this budget, including managing deposits, preparing vouchers and processing disbursements.
  • Process political contributions from appropriate political accounts, including federal and non-federal contributions to candidates, political parties, and support to allied organizations, including assisting in compliance with state and federal campaign finance reporting requirements.
  • Provide support for State Affiliate Political Organizer (SAPO) program, including setting up files, ordering equipment for new contracts, arranging quarterly payments to state federations according to contractual agreements, and maintain SAPO website.
  • Draft routine correspondence and prepare final correspondence and memoranda.
  • Handle routine telephone and e-mail inquiries from varies political leaders including and not limited to US Senators, US House of Representative and candidates of Congress.
  • Assist in the preparation of yearly department budget.
  • Participate in supportive role assignments under the direction of the director, human resources department.
  • Assists the managers in coordinating AFT Convention campaign activities.
  • Maintain contact lists.
  • Up to 10% travel is required.
  • Other duties as assigned.
Primary Knowledge, Skills and Abilities:
  • Attention to detail is a must.
  • Excellent written, proofreading and verbal skills are required.
  • Ability to set priorities given general parameters and meet deadlines.
  • Proven time management skills that demonstrate an ability to organize and manage multiple priorities in rapidly changing circumstances are essential.
  • Good interpersonal skills including the ability to maintain a professional manner when dealing with difficult situations.
  • Experience working with political action committees or political accounts a plus.
  • Budget and/or accounting experience a plus.
  • Working knowledge of Microsoft Monday a plus.
  • Good computer skills, including familiarity with posting information to the web.
Secondary Knowledge, Skills and Abilities:
  • Understanding of unions and/or experience working for a non-profit association.
  • Knowledge of the political process and/or grassroots organizing.
  • Working knowledge of Microsoft Word, Excel and PowerPoint or willingness to train on AFT standard software programs.
