Description This position is responsible for day-to-day administrative and office support for the Presidential Mentor's Academy (PMA) and co-support to enrollment management. This position is responsible for answering phones, greeting guests, and performing general administrative functions. This position requires the exercises of initiative, independent judgment, discretion, teamwork, and innovation. Essential Job Duties
- Serve as first contact for all visitors entering both offices and handle all front-line administration duties;
- Support the director and assistant vice president of both offices in daily duties;
- Prepare and disseminate office correspondence;
- Ensure that campus mail is checked daily and distributed appropriately;
- Prepare and submit purchase order requests, work orders, and requisitions and monitor statuses to ensure receipt;
- Assist in maintaining departmental websites and social media accounts with frequent and timely updates/posts;
- Assist in the creation and maintenance of detailed spreadsheets to track office budgets and expenses;
- Maintain office equipment and coordinate repairs of equipment, as needed;
- Assist in supervising and maintaining records for student employees, as directed;
- Coordinate registration processes for trainings, conferences, and events;
- Provide support in the implementation of PMA events;
- Coordinate logistics for all events, including scheduling facilities and communicating with vendors on-and off-campus;
- Design and create event promotional materials for attendees;
- Design and create office promotional and program marketing materials;
- Collaborate with faculty, staff, and students for various events;
- Assess future supply needs for major programs and events, projects, as well as day-to-day operations of the department;
- Maintain accurate student records while adhering to FERPA requirements;
- Assist in registration, planning, and travel arrangements for offsite conferences;
- Assist in the planning and implementation of recruitment events on-and off-campus;
- Assist in the planning and implementation of retention initiatives for underrepresented students;
- Coordinate study abroad and alternative break initiatives for PMA students;
- Prepare and disseminate interview documents for eligible PMA prospects;
- Coordinate logistics for cohort meeting speakers;
- Assist in maintaining and scheduling meetings for assistant vice president of enrollment management;
- Assist in the recruitment and retention of PMA students;
- Perform all other duties as assigned.
ADDITIONAL DUTIES:
- Assist in supporting selected student organizations;
- Assist with the evaluation and assessment of office-sponsored events;
- Attend and record minutes for various committees, as requested;
- Assist with events during evening hours, weekends, and/or holidays, as requested.
Minimum Qualifications
- Completion of high school diploma/equivalent, required;
- Some college education is preferred;
- One year of related experience, preferred;
- Prior experience working in higher education, preferred.
