To Maintain knowledge of Aquatic/ Recreation operations, projects, policies, procedures, systems, and staff assignments.Essential Duties and Responsibilities:* Provide administrative support - Provide office organization and coordination; exercise innovative and critical thinking to provide support and resolve problems; prepare and proofread reports, letters and forms, prepare internal and external correspondence, some of which may require research & data collection* Maintain the reservation system, website, & social media information - Maintain website and social media information: Create, review and submit information for media posts, press releases, and up-to-date department information for the County's website and social media sites, and in RecTrac relevant to the ongoings of the department.* Purchasing and Revenue Support - Completes purchasing requisitions and receivers; ensures proper coding; tracks and reconciles petty cash; maintains accurate documentation of purchases and receipts; reconciles daily financial reports; processes transactions and reports from rental and revenue system.* Electronic File and Record Management - Audit/maintain electronic/manual files to ensure they are relevant, accurate, and appropriate; archive records; process work orders on the work order management system; maintain training records and assist with local and state reporting; develop and maintain spreadsheets.* Provide and maintain a high level of customer service - Provide customer service to staff, public, other agencies/divisions. Interact with customers in person/phone/email and provide information on facilities/activities/regulations, policies s& procedures; provide forms and refer individuals as necessary assist with reservations.* Onboarding and Payroll Support - Prepare and process paperwork for new or returning employees; assist scheduling of seasonal interviews; assist with payroll as needed; review timesheets; and cooperate and effectively communicate with other departments (i.e., Comptroller's Office, DHR).* Use of Equipment, materials and software - Operate vehicles, A/V equipment, general office equipment, computers and several software systems such as Microsoft Office- Word and Excel, Teams, Zoom, City Works, Dayforce, INFOR, RecTrac, and FileMaker.* Special Assignments and Projects - Participate on special project teams and community outreach efforts including research and data collection of industry standards and recruitment of seasonal staff.* This individual will be responsible for general instruction/employee onboarding in collaboration with seasonal employees for the Aquatics and Recreation Division.Minimum Education & Years of Experience Required:* Current resident of WI* Valis WI Driver's License* High School Diploma or G.E.D equivalent* Associate degree preferred.* At least Three (3) years of experience in clerical, office management, admin assist or receptionist.* Of the 3 years required experience, 1 of which must be in public administration support and customer service.* Basic knowledge with Microsoft Word and Excel.* Ability to push/pull/carry/lift 20 lbs.Preferred Knowledge and/or Experience:* Administrative support experience, including use of MS Office Suite applications required.* Intermediate experience in excel spreadsheet and database programs required, Ability to work in a fast-paced environment while multi-tasking and maintaining accuracy.* Experience processing payroll preferred, using RecTrac and INFOR preferred, Assoc Degree or higher preferred.* Previous work experience in a Parks or Recreation department preferred.NOTE: Note: This Original Examination is open to current residents of the State of Wisconsin.
