Job Title Administrative Assistant (Project Assistant)- TRIO Student Support Services Job Description

Provide administrative support for the federal TRIO Student Support Services (SSS) program, reporting to TRIO SSS Project Director. Responsibilities include overall support of Project staff and functions, correspondence, record keeping, and office management. Emphasis will be on maintenance of the database and reporting system, online application processing and supporting the administrative functions of the program and student participants. Ethical, compassionate, energetic and positive demeanor is essential for this customer service role that involves consistent demonstration of student focused skills. Experience working in TRIO programs or being a participant in a TRIO program is highly regarding for this position.

This is a full-time position with an hourly starting wage of $15.30 per hour. Benefits include medical insurance, dental insurance, and vision insurance, $50,000 life insurance, long-term disability, paid sick leave, paid vacation, paid discretionary time and participation in IPERS or TIAA retirement plan.

Terms of employment are per bargaining agreement between SCC Board of Trustees and the SCC Education Support Association, employment contract and relevant policies of the Board of Trustees. Upholds college policies and procedures and supports and participates in college-wide initiatives. Actively promotes a positive image for the college district. Supports SCC's mission, vision, values and goals.

Employment contingent upon the continuation of grant funding. TRIO SSS is a federal grant funded by the Department of

Education.

Essential Duties Summary

* Learn and embrace the comprehensive community college philosophy and related Iowa Code regulations.

* Learn, apply, and role-model all SCC policies and procedures, including but not limited to the strategic goals and expectations of accountability within the Student Services Division and the SSS Project.

* Perform secretarial, clerical and receptionist duties as assigned by immediate supervisor, including appropriately responding to phone, email, and social media inquiries; greeting all visitors to the department.

* Keep up to date on office communications systems and procedures.

* Prepare reports, correspondence and other documents, including composing initial drafts.

* Conduct research relevant to routine responsibilities and assigned tasks, including securing information for purchasing decisions.

* Assist in maintaining policy and procedures manuals.

* Assist in the preparation and submission of grant applications and performance reports.

* Prepare monthly budget and expense reports and facilitate reconciliation of monthly credit card statements.

* Assist with the maintenance of Project's social media accounts.

* Respond to inquiries about the SSS program, monitor and maintain tracking of applicants, review participant eligibility and schedule appointments at Project Director's direction.

* Schedule appointments for participants to meet regularly with Project staff.

* Maintain student and services tracking systems and prepare reports for annual project assessment.

* Maintain inventory of program equipment and supplies and secure repair & replacement as needed.

* Maintain meeting notes and documentation of services delivered in project.

* Work collaboratively with SSS staff to plan, develop, and facilitate appropriate academic and cultural activities for program participants.

* Work cooperatively with program staff to assure compliance with regulations and support objectives of the grant.

* Assist participants with technology services and related issues in TRIO Center mobile computer lab.

* Work hours are typically 8AM-4:30PM, in addition to some nights and weekends based on project needs. Additional travel may be required to support project including overnight trips with participants and throughout the community college district.

* Other duties as assigned.

Required Qualifications

Education:

o Associate's Degree Required

o Bachelor's Degree preferred in Business, Education, or related field from an accredited college or university.

* Experience:

o Minimum two (2) years experience of appropriate and relevant professional experience, preferably working in a federal TRIO program or similar related program for disadvantaged college students.

Knowledge & Abilities Required:

o Excellent interpersonal and communication skills, including telephone, email and social media etiquette appropriate for a professional workplace.

o Operate standard office equipment and manage filing systems, generate reports and presentations, setting up for meetings and ordering supplies.

o Knowledge of using computer database systems and the ability to perform data entry and maintain Project files using Microsoft Office programs; ability to learn and develop competency in SCC's administrative software (Ellucian), Student Access, Zoom, Docusign and automated scheduling system.

o Knowledge of barriers to postsecondary education faced by low-income and first-generation college students.

o Learn and develop competency in new software applications specifically in social media.

o Maintain strict confidentiality following FERPA.

o Manage, prioritize, and complete multiple tasks with proficiency and timeliness.

o Work independently and be a self-starter, including conducting research relevant to routine responsibilities and assigned tasks.

o Work effectively, cooperatively, and cordially with people of diverse background and needs, particularly with individuals who are traditionally under-represented in post-secondary education.

o Lift and carry up to 25 lbs.

o Maintain a professional, courteous, and positive demeanor while effectively dealing with varied and stressful situations.

o Be familiar with the mission of a community college
