SUMMARY:
The City of Woodbury is seeking applicants with exceptional character for a part-time administrative assistant position on our Public Safety team. This position will support police, EMS Fire, and emergency preparedness. The ideal candidates will be positive, proactive, and able to have fun at work; have a desire to serve the community, a passion for providing exceptional customer service, strong administrative skills, and attention to detail. The candidates must be comfortable learning the many software programs utilized by this department. Ability to maintain confidentiality is a must.
This position will independently perform administrative duties under the supervision of the Public Safety Supervisor. Successful candidates will exhibit an appreciation and respect for a diverse environment, inclusive of many social, economic, cultural, racial and ethnic backgrounds.
Duties may include managing incoming calls, providing in-person customer assistance, and processing solicitor application permits. This position also involves creating forms and documents using Microsoft Officer products, conducting background checks for ride along applications, and updating the team dashboard statistics using Microsoft Excel and our Public Safety Records Management System. Additional responsibilities may include performing a variety of other tasks assigned to our support team.
Work schedule: This position works 29 hours per week, Monday - Thursday 10:30-4:30, Friday 11:30-4:30.
Hiring range = $26.34 - $29.83 per hour
Full pay range = $26.34 - $36.86 per hour
Essential Duties
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Provide exceptional customer service to a wide variety of internal and external customers including residents, crime subjects, crime victims, witnesses, patients, hospitals, legal partners, governmental agencies, and City of Woodbury staff.
Work in a cooperative and professional manner; demonstrate a positive, courteous, helpful, and business-like attitude; demonstrate commitment to the organization, initiative, dependability, maturity in relationships with others, and self-confidence.
Conduct background checks, interpret results, and make recommendations in compliance with city ordinance and state statute.
Review, analyze, process and provide quality assurance on complex police, fire, and EMS reports.
Maintain reports and electronic data (audio, video, and photographic) and prepare response to prosecutorial, public and private data requests in accordance with data practices and records retention laws.
Answer multi-line telephone and provide information within scope of responsibility, referring calls to other parties as appropriate.
Fingerprint residents upon request.
Data entry in records management systems.
Process training registration and maintain training files.
Process requests for various licenses and permits.
Handle urgent and routine matters within established policies and procedures.
Maintain strict confidentiality.

Qualifications
MINIMUM QUALIFICATIONS:
* High school degree or equivalent
* Three years administrative support experience (paid or volunteer)
* Intermediate working knowledge of Microsoft Word and Excel
* Two years customer service experience.
PREFERRED QUALIFICATIONS:
* Administrative support experience in public safety, criminal justice, legal, or related field.
* Post-secondary education in public safety, criminal justice, health care, office management, public administration, or related program
* Proficiency in second language
