Job Description:

Position Summary and Purpose: The R&D Administrative Assistant will facilitate the efficient operation of the R&D department by performing a variety of clerical and administrative tasks.

Essential Functions:

  • Follow the procedure to ship flavor and product samples.
  • Maintain and organize inventory of shipping and consumable supplies.
  • Retrieve information as requested from records, email, and other related documents.
  • Perform a wide range of administrative tasks, including preparing reports, organizing files and records. Prepare written summaries of data when needed.
  • Answer and transfer phone calls, screening when necessary.
  • Welcome and directs visitors.
  • Manage all mail for R&D, including packages that customers or vendors ship
  • Additional duties as assigned.

Required Skills and Abilities:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office or related software.
  • Excellent organizational and time management skills and attention to detail with the ability to prioritize tasks and meet deadlines
  • Proficient understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently.
  • Ability to effectively communicate with all colleagues, levels of management, vendors, and customers.

The physical responsibilities described here must be met by an employee to successfully perform the essential functions of this job.

  • While performing the duties of this job, the employee is frequently required to sit, stand, bend, as well as talk and hear. Specific vision abilities required by this job include close vision. Must be able to regularly use hands to handle or feel objects, tools, or controls, reach with hands and arms, and climb stairs. The position requires the ability to occasionally lift, push, or pull office and lab products and supplies up to 25 pounds.

Working conditions:

  • The position works in a lab setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, fax machines, and standard lab equipment such as printers. The noise level in the work environment may often be loud.

Position Type / Expected Hours of Work

  • This is a full-time position. Standard days and hours of work are Monday - Friday, 8:00 am 4:30 pm.

Education and Experience:

  • High school diploma required; associate degree preferred.
  • 1+ year of experience in an administrative support role required.

Compensation details: 18-22 Hourly Wage
