Job Description:

1. Maintains a professional image and provides excellent customer service to patients, visitors, physicians, leaders, and co-workers in accordance with our Service Excellence Standards and Core Values.

2. Works under the direction of the Program Manager and Program Director of the Rural Residency Program. Manages all duties as assigned, including but not limited to:

a. Administrative support and calendar management

b. Manage daily schedules aligning with current priorities and deadlines

c. Manage payroll for residents, faculty and program admin.

d. Schedule meetings across all levels internally and externally

e. Room reservations and catering as needed

f. Meeting minutes

g. Coordinates travel and hotel arrangements

h. Confirm reservations; prepares and submits all approval forms and expense reports for reimbursement

i. Order and manage office supplies

3. Performs functions necessary to ensure efficient daily operations of the Residency Program.

a. Knowledge of the principles, policies and procedures of the program.

b. Receives, prepares, and interacts with confidential information of a sensitive nature with the utmost discretion

c. Planning and coordinating program events d. Assists Program Manager with daily schedule maintenance

4. Assist with program coordination of residency on an as needed basis.

5. Performs other duties as assigned.

Job Requirements Qualifications/Training:

* 3+ years of administrative experience Intermediate to advanced proficiency with Microsoft Office products (Microsoft 365).

* Excellent written and verbal communication skills.

* Ability to learn new systems and processes quickly in a high-paced environment.

* Proven ability to anticipate needs.

* High level of interpersonal skills and cultural sensitivity; ability to relate well to people at all organizational levels and to work well in a team framework.

Licenses/Certifications/Registrations/Education

* Degree in Business Administration, Secretarial Science, or other related health care degree preferred
