Position Summary:
Assist with administrative and office functions, including but not limited to answering and directing phone calls, mail collection and distribution, record-keeping, file, and data management (paper and electronic). The Administrative Assistant will help direct visitors and customers, order supplies, and provide assistance in other areas or departments as instructed and necessary.
Essential Job Duties and Responsibilities:
* Answer a multi-line telephone system, direct or transfer calls, or take messages.
* Greet visitors and customers and direct them to the appropriate person or department.
* Create, organize, and maintain file and record-keeping using both paper and electronic methods.
* Retrieve and distribute mail daily. Gather and/or prepare outgoing mail and packages.
* Work with customers to support needed documentation, such as quotes and Certificate of Insurance (COI).
* Appropriately handle sensitive and confidential information.
* Maintain office supply request lists and order supplies, as necessary.
* Will assist accounting department with daily tasks.
Minimum Qualifications (Experience, Skills, and Education):
* High School diploma or equivalent preferred.
* Ability to work independently with minimum instruction.
* Intermediate use of a computer using a Windows-based operating system.
* Intermediate knowledge of MS Office (Outlook, Word, Excel, PowerPoint); MS D365 experience preferred.
* Maintain high level of data entry accuracy, and accurate and legible written records and documentation.
* Keep records and information confidential; secure sensitive information to prevent misuse.
* Strong organization skills and attention to detail.
* Excellent verbal and written communication skills.
* Works well under time constraints and deadlines.
* Knowledge of the operation of standard office equipment - facsimile, copier / scanner, telephone system.
* General knowledge of business practices, and customer-focused service principles.
Physical Requirements and Working Conditions:
Normal, climate-controlled office environment. Extensive periods of sitting, using a computer, typing with a keyboard, and using a mouse. Occasional lifting of up to 10 pounds.
Normal business hours Monday - Friday
