We believe in the strength of a hardworking team and are looking for committed individuals to join our team.Job SummaryThe Administrative Assistant will play a key role in ensuring the smooth operation of our office and supporting the HSE Manager. This individual will handle administrative tasks, answer calls, supervise the front desk, and contribute to the efficient execution of daily business operations. Key Responsibilities Provide comprehensive administrative support to the HR Manager and other team members as needed. Organize and maintain electronic and paper files, including HR documentation, compliance reports, and training records. Schedule meetings, appointments, and travel arrangements, ensuring all logistics are efficiently managed. Assist with preparing and distributing reports, presentations, and correspondence. Monitor and update calendars, ensuring timely submissions and adherence to deadlines. Manage office supplies and inventory, ensuring necessary materials are available at all times. Serve as a point of contact for incoming communications, both in person and over the phone, and route inquiries appropriately. Assist in onboarding new hires by providing HSE materials and ensuring proper documentation. Perform additional duties as needed to support the team's operations and overall company goals.Qualifications Bilingual High school diploma or equivalent job experience; associate or bachelor's degree preferred. 3+ years of experience in an administrative or secretarial role, ideally within the oil and gas or construction industries. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong organizational skills with the ability to manage multiple tasks and priorities effectively. Excellent written and verbal communication skills. Attention to detail and accuracy in all tasks. Ability to maintain discretion and handle confidential information. Familiarity with HR terminology and processes is a plus.
