Job Title: Administrative Assistant - Special Education / HRContract Length: 260 daysFLSA Status: Non-exemptDepartment: Special Education and Human ResourcesSalary: $37,629 to $56,444Job Summary:The Administrative Assistant - Special Education and Human Resources is responsible for providing administrative support to the Special Education Department and the Human Resources Department, specifically in the areas of billing, invoicing, training, and benefits. This position will assist in the coordination of billing, invoicing, employee training, benefits administration, and various human resources functions.Essential Duties and Responsibilities:
  • Bookkeeping:
  • Assist the Special Education Department with specialized billing and invoicing.
  • Track monthly services and coordinate payment with outside agencies.
  • Complete reports, purchase orders, reimbursement requests and timesheets.
  • Complete related state reports.
  • Training and Development:
    • Assist in the development and implementation of employee training programs.
    • Coordinate training schedules, room reservations, and materials.
    • Track employee training records and certifications.
  • Benefits Administration:
    • Assist in the administration of employee benefits programs, including health insurance, retirement plans, and leave policies.
    • Process enrollment and termination paperwork.
    • Answer employee questions regarding benefits and assist with enrollment issues.
  • Human Resources Support:
    • Provide general administrative support to the Human Resources Department, including filing, copying, and data entry.
    • Assist with employment verifications, background checks, and reference checks.
    • Assist with the administration of the Family and Medical Leave Act (FMLA).
    • Assist with the administration of the Virginia Retirement System (VRS).
    • Assist with leave administration, including sick leave, personal leave, and vacation leave.
  • Cross-Training:
    • Undergo cross-training in various Human Resources Specialist duties, such as recruitment, onboarding, and employee relations.

Some college coursework preferred. Must possess knowledge of standard office practices, procedures, and clerical techniques. Must possess excellent communication skills and the ability to speak clearly to communicate with visitors, applicants, administrators, and employees. Must be proficient in Microsoft Office, Excel, Access, and PowerPoint. Must possess knowledge of, or the ability to learn accurately and quickly to operate multi-line telephone console, computer, and office equipment.Working Conditions & Physical RequirementsMust have the ability to sit and stand for extended periods of time; exhibit manual dexterity to dial a telephone, to enter data into a computer; to see and read a computer screen and printed material with or without vision aids; hear and understand speech at normal classroom levels, outdoors and on the telephone; speak in audible tones so that others may understand clearly in normal classrooms, outdoors, and on the telephone; physical agility to lift up to 25 pounds; and to bend, stoop, sit on the floor, climb stairs, walk and reach overhead.Work EnvironmentThe work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
