St. Joseph's Parish in Washington DC (Capitol Hill) is hiring an Administrative Assistant to assist the Pastor and staff in the day-to-day operations of the Parish office and communication to parishioners. This role is full-time 9am - 5pm - Monday - Friday with occasional weekend support for weddings.Duties and Responsibilities include:
- Oversee and supervise the Grounds/Facility Help EA to Create/Maintain continuity Standard Operating Procedures (SOPs)
- Ensure phone coverage during work hours, keep track of phone messages,. Answer telephone calls and handle walk-ins. Be sensitive to the needs of parishioners and Check email several times per Convey messages to parish priests promptly
- Ensure accurate entry of all parish data into Parish Soft and other relevant software systems
- In collaboration with the EA/pastor, help organize and run a weekly staff meeting to cover scheduling and tasks of all Joseph's staff members
- Assist Director of Evangelization with scheduling and clerical duties when requested or required
- Support the pastor with typing, handling correspondence, and document preparation. Monitor/Prioritize Pastor Gmail and Monitor/Update Pastor Google Calendar
- Liaise cheerfully with parishioners on a myriad of parish activities and needs
- Scheduling meetings and events
- Work closely and collaboratively with lay leaders and volunteers as needed toward furthering and accomplishing the Church's activities and ministries-Lectors, EMs, Ushers, Hospitality, Group functions,
- Assist with coordination of volunteers
- Assist EA in managing parking lot rental
- Manage supply vendors and ordering supplies
- Provide Mass Cards
- Bookkeeping support with the following:
- Invoice payments, bank deposits, record-keeping, and check tracking
- Maintaining parishioner contribution records
- Keeping track of invitations and RSVPs for parish events and fundraisers
- Application for and reporting related to fundraising
- Serve as point of contact between fundraisers, the appropriate committees and the Pastor
- Further Assistance to Church Community
- Publish/Review Flock notes in order to keep community up-to-date with Parish events, announcements, and campaigns
- Update database and keep records for Religious Education and administration of sacraments
- Update calendar{s) with events and changes for Parish and/or for Religious Education
- Maintain database of vendors and vendor payments
- Periodic communication/website
- Send emails at Pastor's discretion related to Parish and Religious
- Create necessary fliers or announcements related to Parish events and to major liturgical seasons {Lent, Easter, Christmas, et al).
- Manage web-site and keep information accurate and
- Manage and organize church and office supplies and maintain inventory
- Assist Pastor with Communications to parishioners and to community, calendar planning
- Assist Director of Evangelization with Religious education-related events and operations
- Assist EA in administration of the e-mail system
- With EA, Ensure accomplishment of financial counting and running bi-weekly payroll
- Present a cheerful, diplomatic, and collaborative demeanor at all times
- Facilitate human resources and employee onboarding requirements as needed by
- Be the point of contact for Archdiocese of Washington needs or requests in absence of
- Assist in following Archdiocese of Washington policies and procedures
- Liaison to Child Protection and Safe Environment Coordinator when needed by EA
- Assist with rectory and facility support needs
- Assist with projects of the clergy, staff, and parishioners
- Accomplish other office duties, as assigned
Education and Experience:Essential Skills: Applicant needs to be a practicing Catholic with a dedication to being part of the Church's mission. Having a good working knowledge of Catholic terms and practices is essential. College or IT/computer training preferred. Candidates must have the ability to communicate effectively both orally and in writing, as well as having excellent organizational and people skills. Candidates should be fluent in Microsoft Office {Word, Excel, Access, and PowerPoint) Google {Gmail, Calendar). Knowledge of Parish Soft, our Church management software, is a plus. This job operates full time in an in- person/office setting. The role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets.
