Job Description:
The Administrative Assistant for Student Conduct & Student Success supports the Dean of Students and associated personnel, ensuring smooth operations and efficient management of various administrative tasks, including monitoring budget and event management. This position is responsible for the administration and training of the Maxient system and for providing data for informed decision making within the division of Student Affairs. The role oversees logistics and supports students and staff involved in different capacities with programming within the office of the Dean of Students.
Essential Functions:
* Maintain schedule, correspondence and special projects for the Dean of Students including management of budgets of departments that report to the Dean of Students. Administer calendars, correspondence for five college house deans. Provide budget oversight of the five college houses.
* Administer the Maxient system for conducting reports. Enter public safety reports into the Maxient system; ensure timely follow up by a responsible Dean. Generate regular reports upon request on outcomes. Responsible for assisting in the training of staff on the Maxient system. Create reports from data as needed for the Dean of Students.
* Oversee the student operations of the Wohlen House student life center, including student worker supervision, event registrations and office management.
* Coordinate the logistical needs for student conduct hearings; assist with the student application process for student conduct board membership. Support Conduct Mentors and conflict resolution group members. Coordinate administrative on-call operations.
* Responsible for proactive communication and timely and effective responses to public communication from the division of Student Affairs.
* Assist in handling administrative and clerical duties for various stakeholders in the Old Main Building.
* All other duties as assigned.
Requirements:
Minimum Qualifications:
* Bachelor's Degree or equivalent combination of experience and training.
* At least 1 year of related clerical and/or administrative experience.
* Previous experience with database management.
* Excellent oral, written, interpersonal communication skills.
* Proficiency in Google Suite Products (Docs, Gmail, Sheets, Slides, Drive)
* Evidence of a commitment to diversity, equity, and inclusion.
* Successful interview.
* Successful completion of background checks.
Preferred Qualifications:
* 3 or more years of related clerical and/or administrative experience.
Additional Information:
Offers of employment are contingent upon the successful completion of reference checks, a criminal background verification, and verification of credentials. The College will coordinate these verifications.
