Job Description:1. Under the supervision of the Assistant Registrar:
  • Provides clerical support to the Registrar's office (verification letters, email reminders, etc.).
  • Manages the addition and correction of data into the Student Information System (SIS) such as student name, address, and/or phone numbers; communicates changes as needed.
  • Coordinates creating, printing, and mailing of diplomas and certificates.
  • Processes transcript orders, degree, and enrollment verification utilizing National Clearinghouse, email, and forms.
  • Posts and updates transfer credits to student records in the SIS.
2. Works in coordination with the Bursar:
  • Collects and processes payments received via mail, online, and in-person.
  • Posts tuition and fee payments to the appropriate student account in the student information system. Provides receipts as requested.
  • Prepares bank deposits.
  • Assists in the communication of important student account/billing deadlines and information.
  • Assists with the collection, distribution, tracking, and/or record retention of information, including student agreements, payment plans, and refunds.
  • Maintains and posts funds into student printing accounts.
  • Provides various back-up duties for the Bursar as needed.
  • Miscellaneous projects requested by the Vice President of Business and Finance.
3. Assists other specific Student Services staff with as-needed direct support:
  • Academic Advisor:Scheduling and student communications.
  • Financial Aid:Scheduling and student communications. Assists in other ways as needed.
4. Assists with non-degree seeking student application and enrollment processes each semester.5. Adjusts student enrollments (rosters, course add/drops, etc.) during each semester registration cycle.6. Assists as back up to primary point of contact for the One Stop Shop on an as needed basis. Greets and assists students and guests requests in a friendly and helpful manner.7. Oversees communications processes related to Student Services and other departments with regards to specific services (Texting, E-signature documents, etc.).8. Collects paperwork and/or projects from students and distributes them to the appropriate staff or faculty members in a confidential manner.9. Posts informational updates to the college intranet, calendar and student portal.I 0. Administers the badging creation process utilizing badging software and printer.11. Oversees parking pass assignments and tracking. Collects badges and parking passes from students who are leaving the college (i.e., graduation, withdrawal, etc.).12. Assists with a variety of strategic and operational projects as delegated or as appropriate to the position.13. Participates in self-development activities appropriate to the position.14. Manages the office supply inventory for workrooms and classrooms and submits orders to suppliers as needed.15. Sorts and distributes daily mail, ensures office equipment is ready for use, and restocks printer paper.16. Participates in the College wide efforts of continuous quality improvement.17. Serves as a role model and mentor for student employees.18. Promotes effective and positive working relationships with internal and external customers.19. Serves as a member of college committees.Qualifications:
  • Education & Licensures: Two-year Associate degree for Administrative Professionals, Business Management, or equivalent experience required.
  • Experience: Minimum of two years of prior experience in an administrative office support role. Experience working in a higher education or healthcare office setting preferred.
  • Knowledge: Knowledge and skill in the application of the principles and practices of educational programs.
  • Abilities & Characteristics:
    • Ability to work independently and manage multiple tasks
    • Strong organizational skills that facilitate accurate and timely support to the Student Services department
    • Excellent written and verbal communication skills, with strong interpersonal skills
    • Proficient computer skills with the ability to generate professional appearing documents, design and utilize spreadsheets, data management, and email systems
    • Ability to maintain confidentiality and displays strong attention to detail and follow through skills
    • Focused on working collaboratively with students, administration, staff and faculty of the college.
