Categories: College of MedicineJob Summary The Administrative Assistant will assist the Director of Student Affairs with support services for DUCOM milestone events, student employee payroll, office budgeting processes and student clubs finance management.Essential Functions
- Provide support to Student Organizations, including processing Purchase Requests.
- Purchasing card reconciliation for Director and Associate Director of Student Affairs, as well as for student club purchases.
- Track expenses for the Office of Student Affairs and Career Advising.
- Execute contracts including obtaining contract approvals, and submit contracts for payments for all milestone events (Orientation Week, White Coat ceremony, Match Day, Commencement Week) and their associated vendors.
- Manage office operations including supply inventory, staff schedule and guest experience.
- Process hiring paperwork for student staff including work study students, Orientation Coordinators and Academic Tutors.
- Upload Medical Student Performance Evaluations (MSPEs) into the ERAS system.
- Process reimbursements for SGA and for the Student Affairs Emergency Fund.
- Assist in Milestone event planning and execution.
- Other duties as Assigned.
Required Qualifications
- Minimum of an associate degree in higher education, finance, or business
- Minimum of a 1 year experience working in higher education, finance, or business.
Preferred Qualifications
- Excellent judgment and ability to maintain confidentiality.
- The candidate should have excellent interpersonal skills such that the individual can work collaboratively with students, tutors, outside vendors, University offices, departmental faculty, and staff.
- The candidate should be detail-oriented and possess excellent time management skills.
- The candidate should have a high level of organizational and task management skills.

- Typically sitting at a desk/table
- Lifting demands ≤ 25lbs.
- Typically standing, walking.

The pay offered is based on the successful candidate's qualifications and experience, department budget, and an internal equity review.
