Position Information
Position Title Faculty Administrative Assistant Division Presbyterian Job Description
Under the supervision of the Senior Administrative Assistant in the Office of the Provost, this individual will function as administrative assistant to the under graduate faculty to ensure a smooth work flow for the faculty within the buildings and will also assist the Sr. Administrative Assistant with various projects as requested.
Essential Functions:
* Maintain departmental class schedules and working with Registrar's office on course offerings.
* Maintain building calendars. The calendars ensure that there are not multiple classes or events schedule for rooms.
* Reserve rooms in buildings for campus community: This involves checking the reservation books and also checking the class schedule to make sure there are no conflicts. Also, must communicate with Campus police if rooms are being used outside of normal work hours.
* Prepare and review various business office forms (T&E, Out of Pocket, etc.) for facultty
* Assist faculty when coordinating programs and events
* Usher during various college events (Opening Convocation, Honors Day, and Commencement)
* Responsible for ordering general supplies as needed for each department, this includes office supplies along with Bluebooks, and Scantrons.
* Maintaining budgets on Banner Web for each Department
* Prepare and follow-up maintenance School dude Work Orders for each Dept.
* Assist faculty with clerical duties such as: extensive photocopying, filing, and scoring tests when Scantrons are used.
* Assist with faculty searches; receive and log information from candidates and distribute to the search committee members. Also arrange for candidates lodging and other requests made by search committee.
* Maintain Lost and Found for buildings; communicate with campus police, the communications office, etc. as needed.
* Arrange for repair of office equipment in building(s) - copiers, fax, Scantron machine, and individual printers
* Send confirmation via email to both individuals requesting and to campus police once a week if event is after hours.
* Places work orders for room arrangements.
* Work with Media Services to have room setup with more hi-tech equipment.
* Other duties as assigned.
