To provide clerical assistance to insure the efficient operation of the school. Reports to: Building PrincipalEquipment Used: Computers, keyboards, printers, phone, standard office equipmentEducation, Training, Skills, Experience, & Licensure Requirements:
  • Preferred at least two to three years of experience administrative assistant experience
  • Experience working with Google and Microsoft Office products
  • Communication and interpersonal skills including phone and email communication
  • Ability to work with a team
DUTIES and RESPONSIBILITIES:
  • Manage and maintain schedule of principal and assistant principal
  • Scheduling and coordinating meetings, conferences, and interviews
  • Answering school office and attendance phone calls - not limited to:
  • Direct calls to proper parties
  • Take messages for staff and students - insure receipt of messages before end of day
  • Prepare and monitor invoices - not limited to:
  • Ordering office and classroom supplies during the school year
  • Be proficient on district's purchasing program
  • Order school merchandise approved by principal
  • Process receiving to insure school receives what was ordered
  • Approve payment invoices
  • Generate PO's
  • Managing filing system - not limited to:
  • Maintain hard or computerized records
  • Maintain archives following records retention policies for:
  • Student attendance, accident reports, Workman's Compensation
  • Complete student attendance
  • Assist with report cards
  • Welcoming and assisting visitors
  • Greet subs and direct them to their classroom
  • Collate and distribute mail
  • Maintain meeting minutes at faculty and leadership meetings
  • Administrative duties not limited to:
  • Daily notices
  • Maintain school website
  • Assist with budget
  • Prepare and distribute monthly parent calendar/lunch menu
  • Assist with updates to parent/student handbook
  • Perform filing and clerical duties - not limited to:
  • Have parents/guardians complete necessary forms
  • Establish files for teachers and nurse
  • Workmen's Compensation - Process all necessary paperwork/forms
  • Reconcile support staff time clock data.
  • Collect data and generate reports.
  • Cover the main office reception and attendance duties during lunch time on a rotating basis.
  • Maintain student attendance records for entry/exit from school campus (early release, tardy, etc.)
  • Update daily attendance records in Alma in preparation for state reporting.
  • Supervise students sent to the office.
  • Book travel arrangements when necessary
  • Coordinating events as necessary
  • Maintaining office equipment as needed
  • Maintain and update student and staff database
  • Perform all other duties as assigned by the principal or designee
  • LEGAL and ETHICAL DUTIES:
  • Maintains confidentiality about all aspects of student performance in electronic, written and oral records

Ensure compliance with federal laws, state laws, and school policies TERMS OF EMPLOYMENT:
  • School year - 217 days = 175 student days + 10 professional development days + 12 holidays + 20 extra days (10 before school & 10 after school)
  • Work day subject to individual employment contract per collective bargaining agreement
  • Clear criminal background check
  • Administrative assistant contract with salary and benefits as defined per collective bargaining agreement
