Dorchester County Public Schools is currently accepting applications for an Administrative Assistant. This position requires a highly skilled and dedicated individual who deals with many confidential matters and provides direct, daily support to the Assistant Superintendent of Academics & Student Services. This position also supplies resources to the Office of the Superintendent of Schools, as needed. This is an eight (8) hours a day, twelve (12) months a year, full-time benefited position.
DUTIES:
* Coordinates the daily activities of the office by maintaining calendars, scheduling appointments, conferences, and trainings.
* Communicates in a positive manner and answers inquiries with tact and gives appropriate assistance as needed.
* Prepares agendas and assembles materials for meetings and trainings and specifically provides administrative support.
* Attends meetings and prepares minutes for distribution to appropriate stakeholders.
* Maintains fiscal records, verifies transactions, and reconciles receipts and financial reports.
* Creates and maintains confidential electronic databases.
* Handles confidential and sensitive issues such as budget development, staff issues, negotiation information, student issues, and community concerns.
* Processes correspondence for office via telephone calls, emails, and all other mail.
* Maintains budget accounts and assists with the development of the office's budget.
* Prepares purchase orders and maintains records for office purchases.
* Assists in the planning, development, and execution of events.
* Performs other duties as assigned.
QUALIFICATIONS:
* Demonstrates proficiency in computer and word processing skills, especially Microsoft Office Suite applications (Word, Publisher, Excel, Outlook Calendar, and PowerPoint),
* Proficiency in proofreading and editing confidential documents is a must.
* Proficiency in general accounting procedures.
* Knowledge of common practices, organization, and policies and procedures of the Dorchester County Public Schools is preferred.
* Working knowledge of modern office procedures and equipment, various software programs, the principles of office management, and of standard record maintenance procedures.
* Ability to make decisions in accordance with precedents, rules, and regulations.
* Ability to apply Board policy to daily work decisions, exercise good judgment, courtesy, and tact in dealing with people on the telephone and in person.
* Must be able to work independently on routine, complex and confidential tasks.
* Associate's or Bachelor's Degree in related area preferred.
* Three (3) years of successful secretarial experience; school office experience preferred, with increasing responsibilities.
* Has a willingness and capability to work beyond the normal work day to include possible evening and weekends.
