Title: Administrative Assistant to the Dean
Department: Dean's Office - College of Management

The candidate will manage and oversee assigned functions of the Dean's office are properly carried out and report to the Dean, Associate, and/or Assistant Dean.
Principal Responsibilities:
* Prepare draft correspondence, agendas, reports; respond, disseminate correspondence/materials, as needed.
* Prepare and monitor faculty letters for all departments/programs including maintaining computerized databases, computer and paper file systems.
* Appointment letters
* Sabbaticals
* Stipends
* Visiting professors
* Probationary faculty released time
* Liaison between adjuncts, department and payroll.
* Process and monitor workloads.
Finance Duties:
* Process payment requests for accreditation fees, check requests, and travel expenses
* Prepare Credit Card expense report for the Dean
* Handle Purchase orders
* Monitor operating, travel, restricted and Assistantship budgets
Routine office jobs:
* Maintain office inventory and order supplies as needed.
* Set up vacation calendar access
* Coordinate, train and supervise departmental secretaries and Dean's Office student workers.
* Assist with student recruitment activities and special events.
* Assist in commencement activities, award activities, and other school events.
* Assist in awards preparation and presentations: including award letters to students, ceremony booklets, plaques, certificates, flowers.
* Manage and update all faculty, administrator, and staff personnel files.
* Prepare personnel files for submission to Academic Affairs.
* Coordinator meetings and calendars for the Dean and Assistant Dean.
* Direct student inquiries or requests to the appropriate department/person.
* Oversight and management of the office the Dean in all daily activities.
* Other responsibilities as designated by the Dean, Associate and/or Assistant Deans.
Education Requirements:
Bachelor's Degree required.
Training, Skills, Knowledge, Experience:
Candidate must have excellent communication and interpersonal skills, good organizational skills, proficient with computers and software such as; Microsoft Word, Excel, PowerPoint, and Access. At least 2 years' supervisory experience required.
