Job Overview:
We are seeking a detail-oriented and organized Administrative Assistant to support our Transportation Maintenance team located in Mount Airy, NC. The successful candidate will assist with the daily operations of the maintenance department, ensuring smooth communication, accurate record-keeping, and effective coordination of schedules, tasks, and reports. This role is ideal for someone who thrives in a fast-paced environment and has a passion for logistics and operational efficiency.
Key Responsibilities:
* Data Entry & Record Keeping: Maintain accurate maintenance records, logs, and databases, including vehicle service histories, inspection reports, and repair schedules.
Scheduling: Assist in coordinating and scheduling maintenance work, ensuring timely completion of vehicle inspections and repairs.
Communication: Serve as a liaison between the maintenance department and other departments, vendors, and contractors, ensuring timely communication and follow-up.
Procurement Support: Help track inventory of parts and supplies, assist in ordering, and follow up with suppliers to ensure timely delivery of materials.
Reporting: Generate and distribute regular maintenance reports, including fleet status, maintenance costs, and compliance with safety regulations.
Compliance: Ensure that all maintenance records comply with regulatory requirements, company policies, and safety standards.
Administrative Support: Handle phone calls, emails, and other correspondence related to transportation and vehicle maintenance; assist in preparing documents, presentations, and reports for management.
Invoice Management: Support with reviewing, organizing, and processing invoices for payment related to transportation and maintenance expenses.

Requirements
Requirements:
Education: High School Diploma or equivalent (associate's degree or administrative certification preferred)
Experience: 1-3 years of administrative experience, preferably in transportation, logistics, or maintenance.
Technical Skills: Proficient in Microsoft Office (Word, Excel, Outlook), experience with fleet management software or CMMS systems is a plus.
Organizational Skills: Strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
Communication Skills: Excellent verbal and written communication skills, with the ability to interact effectively with team members and external partners.
Problem-Solving: Ability to handle unexpected issues and resolve them efficiently.
Preferred Qualifications:
* Knowledge of transportation or fleet management practices.
* Experience in a transportation, automotive, or maintenance environment.
* Familiarity with DOT regulations and vehicle safety compliance standards.
