Job Summary: The Administrative Assistant will perform a variety of routine administrative and clerical tasks while providing support to company managers and employees. This role will be responsible for assisting in the daily office needs and managing the company's general administrative activities. Essential Job Responsibilities:
- Write and distribute email, correspondence memos, letters, faxes, and forms
- Answer phones and direct phone calls
- Process timesheets
- Develop and maintain filing systems
- Undertake occasional receptionist duties
- Order office supplies and research new deals and suppliers
- Act as the point of contact for internal and external clients
Experience, Qualifications and Requirements:
- High School Diploma or equivalent is required
- Minimum of three (3) years of experience in an administrative assistant, billing or timekeeping role is required
- Proficiency in Microsoft Office (Word, Excel, Outlook, and Teams)
- Must have working knowledge of office equipment, such as printers, etc.
- Experience using QuickBooks will be considered an asset
- Experience using Sage 300 considered an asset
- Experience using TRACK considered an asset
- Ability to work in a fast-paced environment
- Professional demeanor and attention to detail
- Strong organizational and time-management skills, with the ability to meet deadlines
- Ability to prioritize work; Manage tasks, schedules, and information
- Strong communication skills both verbal and written
- Must be teachable/trainable and have ability to retain new information quickly
- Pre-employment background checks will be required
Physical Requirements:
- Must be able to sit for prolonged periods of time at desk and working on computer.
- Must be able to lift up to 15lbs.
- Required to sit, use hands & fingers, handle, feel, reach with hands and arms, push, pull, carry, stand, walk, stoop, kneel, or crouch.
