Job OverviewAniLocus is seeking a highly organized and detail-oriented Administrative Assistant/Virtual Assistant to provide administrative support to our executive team and ensure the smooth operation of our office. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. This role is crucial in managing schedules, coordinating meetings, handling communications, and supporting various administrative tasks.Responsibilities Manage and maintain executive schedules, including arranging meetings, appointments, and travel itineraries.Serve as the primary point of contact for internal and external communications, including answering phone calls, emails, and managing correspondence.Coordinate and prepare materials for meetings, including agendas, presentations, and minutes.Assist in the preparation and editing of reports, documents, and presentations.Perform general office duties such as ordering supplies, managing records, and organizing files.Handle confidential and sensitive information with discretion and professionalism.Support project management activities by tracking deadlines, managing timelines, and ensuring tasks are completed on schedule.Conduct research and gather information as needed for various projects and initiatives.Assist in the coordination of company events, meetings, and conferences.Provide support to other departments as needed, including data entry, reporting, and administrative tasks. Skills & Qualifications Associate, Bachelor, or Master degree in Business Administration, Communications, or a related field preferred.Minimum of 2 years of experience as an administrative assistant or virtual assistant.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.Excellent written and verbal communication skills.Strong organizational and time-management skills with the ability to prioritize tasks and meet deadlines.High level of professionalism and discretion in handling confidential information.Ability to work independently and as part of a team in a fast-paced environment.Detail-oriented with strong problem-solving skills.Experience with virtual communication tools and platforms (e.g., Google, Zoom, Slack, Microsoft Teams). Preferred Qualifications: Experience in a biotech or pharmaceutical company.Knowledge of project management tools and software.Familiarity with CRM software and data management systems. Working Conditions: This position can be performed remotely, with occasional on-site requirements based on business needs.Flexible working hours may be required to accommodate different time zones and executive schedules. Salary and Benefits Salary: $47,100-$99,000.
