The Administrative Assistant will support two executives within Walt Disney World Commercial Strategy. The ideal candidate for this role thrives in a fast-paced environment, handles tasks with creative resourcefulness and minimal guidance, possesses strong attention to detail, promotes positivity and a strong team dynamic, shows agility and courage, exercises sound judgment, and maintains confidentiality.
This a Full-Time, on-site role based in Orlando, Florida. Relocation is not available for this role.
You will report to the Vice President, WDW Revenue Planning & Optimization.
What You Will DoThis role goes beyond managing the daily operations of the executives you support. You will gain a deep understanding of the Commercial Strategy business, supporting collaboration across the team and with key partners outside your direct group. At its core, the role is focused on people. The relationships you build will be key to establishing yourself as a trusted partner. You will do this through a deep knowledge of leadership, the team, and operations across multiple departments within the Disney enterprise. As the 'face' of this team, your professionalism, loyalty, and demeanor reflect the office and having a strong and trusted brand is key to its success. This role supports a large and dynamic team of professional cast and acts as the hub to the organization.
Every day brings something new, and on any given day, you might:
- Partner across the Commercial Strategy organization and other teams by assisting with the management of cross-discipline commercial forum agendas
- Interface directly with other senior executives and their support teams while handling extremely confidential and critical information
- Develop and refine strategic presentations in partnership with your executives using PowerPoint and/or Keynote for intended senior-level audiences
- Cultivate strong relationships with key client groups within profit centers and lines of business, as well as key partner areas
- Conduct research, fact-check existing work, and prepare regular reports and summaries
- Create a multi-city travel itinerary, taking into account time zones, weather delays, traffic, and fatigue levels
- Review your leader's schedule to build time for things like preparing and traveling to their next meeting
- Understand your team and leadership's priorities so that you can be strategic about how you respond to calendar inquiries and collaborate to ‘solve for yes' to meet various needs
- Schedule conference rooms, meetings, and video chats and coordinate logistics as needed including facilities management / maintenance need, A/V set up, and catering as needed
- Be ready to throw the entire schedule out the door when an emergency comes up, then pick it up again when the dust settles
- Handle all team administrative efforts to ensure every is set up for success; supporting expense reports, company policy sharing, keeping supplies stocked, creating job requisitions, and connecting dots between the areas
- Assist with onboarding new employees
- Mentor and train other support professionals in hard skills like computer programs, and soft skills like partnership
- Act as “casual buyer” of all office supplies for the department, and manage purchase orders, vendor contracts, and expense reports.
- Monitor and track significant team events and dates, to include preparing and managing events such as service recognition parties, Townhalls, partner work sessions and off-site meetings.
Required Qualifications & Skills- Minimum of 5 years in administrative support, project management, or other equivalent experience
- Proven ability to lead, communicate, and organize executives and key partners across multiple operations
- Make decisions around scheduling issues with little to no guidance
- Strong written and verbal communication and interpersonal skills
- Desire to immerse yourself fully and learn all aspects of Commercial Strategy
- Excellent organizational skills and attention to detail with the ability to prioritize tasks and handle multiple tasks with set target dates
- Strong proficiency with all types of computers and equipment, as well as mastery of Microsoft Office, SAP, Confluence, Concur, Teams, and Zoom
- Exemplify positivity and optimism when solving issues while maintaining professionalism under pressure
- Understand Emotional Intelligence to build bridges, forge alliances, and encourage people to want to work with you
- Flexibility to work overtime as needed in urgent situations
- Promotes and prioritizes teamwork both internally and externally, works exceptionally well with executives, staff, and external associates at all levels.
Preferred Qualifications- Preferred experience supporting Senior Executives
- Experience at The Walt Disney Company or a large public corporation
- Good knowledge of theme parks, resorts, and/or the travel industry
EducationA Bachelor's Degree or equivalent experience
