Job Description:

nextSource invites you to join our talent community of Administrative/Executive Assistants. Our client is often looking for them to support their ongoing business needs. Then, the next time the position is available, and your skillset is a match, you will be contacted and, if interested, you may be submitted for the opportunity. The Role: The ideal candidate will be highly organized, detail-oriented and provide excellent customer service to internal and external customers. They will coordinate a broad variety of administrative processes and activities such as database maintenance, schedule coordination, communications for departments, and managing calendars. Responsibilities: Position specific responsibilities will include, but are not limited to:

  • Manages executives, supervisors and department calendars.
  • Manages complex scheduling arrangements sometimes involving multiple parties.
  • Creates and maintains complex spreadsheets or databases based on supervisor's objectives.
  • Oversees department/office supplies.
  • Sets-up and cancels meetings based on knowledge of the subject and attendees. Ensuring that all logistics are supported such as technology, catering, venue confirmation.
  • Prepares required materials for meetings, webinars, and special events (e.g., documents, presentations, handouts).
  • Note taking, (e.g. meeting minutes), and transcribe and distribute.
  • Performs data entry; information management and extraction; database creation and maintenance; report generation and distribution utilizing; data information analysis.
  • Works well with multiple and competing deadlines, sets priorities, and works independently.
  • Supports special projects and assignments as delegated by the manager.
  • Provides back-up front-desk coverage including meet and greet visitors, screen incoming calls, relay messages and route accordingly.
Qualifications:
  • Bachelor's degree in any field (preferred).
  • Three to four years of consistent clerical and administrative service.
  • Experience working in an academic field preferred.
  • Experience with Microsoft Office Suite including Outlook, Word, Excel, PowerPoint, OneDrive and Teams.
Location:
  • New York, NY 10027 (onsite highly preferred)
Pay Rate:
  • $25.00 - $35.00 hourly
