Overview

APPOINTMENT TYPE: Full-Time Regular (FTR)

* LOCATION: Hybrid (Oak Ridge, TN and Remote)

SALARY RANGE: $62,438.20 - $86,923.20/yr.

* Note: This position will initially require full-time, on-site work in the Oak Ridge, TN office up to five (5) days per week. Once training is complete and upon management approval, the opportunity for a hybrid work environment (a combination of remote and on-site work) exists.

PURPOSE: This position will provide executive-level administrative support to the Sr. Vice President (VP) of ORAU Government Services (OGS). Assigned projects will require interactions with key decision makers in a government, academic, and corporate environment.The Administrative Associate 2 will work closely with members of the OGS Leadership Team to coordinate program-wide activities and deliverables; handle sensitive, proprietary and business confidential information regarding multiple subjects on a daily basis; and prepare routine reports, presentations and correspondence on behalf of the Sr. VP.

Responsibilities

Coordinate and perform a wide range of administrative functions for the Sr. VP of OGS to include, but not limited to:

* Coordinate meetings and activities for the Sr. VP, OGS. Maintain calendar, identify scheduling issues and work independently with meeting organizers to effectively utilize work time; notify participants of meeting dates and places, and prepare agendas and materials for meetings; identify location, and negotiate contract for off-site meetings; and assemble and distribute meeting materials to attendees

* Compile and send out OGS periodic announcements

* Track management action items.

* Review internal and external correspondence documents for quality and accuracy

* Maintain, develop, communicate and coordinate required data and reports for OGS

* Act as Facility Representative to Facilities and Transportation Department (FTD), training liaison, property custodian, telecommunications representative, etc.

* Coordinate travel arrangements and assist with procurement, financial and other administrative tasks

* Assist OGS Leadership team with administrative requests as needed.

Monitor and track confidential and business sensitive data; prepare budget and statistical information, as needed; contribute to the completion of organizational projects and goals; and represent the VP for certain meetings and projects.

Prepare executive-level presentations for the Sr. VP. Must have excellent written and verbal communication skills and be able to interact with all levels of employees and clients including executive-level government and contract managers. Administrative Associate will also assist with writing business and programmatic correspondence.

Coordinate management team meetings, to include sending out agendas, attend meetings to take and then distribute meeting minutes; maintain a confidential area on Share Point site for Management Team use; Coordinate all-staff meetings and other all-staff gatherings, and celebrations; and track employee service awards for OGS.

Provide miscellaneous program support, to include:

* Inventory Management - Track inventory of program supplies, procurement of supplies, and ensure appropriate procurement processes are followed to meet the requirements of ORAU policies and procedures.

* Reporting and Presentations - produce program performance reports and prepare presentations as needed for meetings and/or customers.

Qualifications

Bachelor's degree in business, science, healthcare, or related field and 2 - 4 years of job-related experience. An equivalent combination of education and experience requiring similar knowledge, skills, abilities, and performing duties as described may be substituted for the minimum requirements.

Candidates must have experience in an administrative field and be confident and able to interact with senior level management daily, with a proven ability to work in a stressful environment with ever-changing priorities. Some examples of skills required include:

* Ensure proper use and operation of office equipment and address any malfunctions.

* Possess intermediate knowledge of Microsoft Office, excellent computer skills, ability to enter data efficiently and accurately for extended periods of time

* Demonstrate clear, concise, and professional verbal and written communication skills

* Be detail oriented and able to follow specific directions precisely and work independently

* Utilize organizational and time management skills and demonstrate a strong work ethic.

* Respond appropriately to urgency of tasks and effectively prioritize workload

* Utilize problem solving skills and demonstrate experience with process improvement techniques

The candidate's starting salary will be determined upon hire and ORAU will use salary survey data, internal comparators, and the candidate's qualifications to determine salary.
