Position Information

We are seeking an Administrative Associate II who will work under general supervision and provide routine administrative support work.

Responsibilities:

* Receives all incoming telephone calls to the Texas A&M AgriLife Research and Extension Center at Overton and forwards as appropriate.

* Greets visitors, ascertaining the nature of business and directing them to the appropriate person.

* Maintains Fleet Focus data and Excel spreadsheets on vehicle usage/repairs; prepares end of month vehicle analysis.

* Schedules and manages pool vehicle check-out.

* Sort and post mail daily.

* Orders supplies for employee coke and coffee fund and maintain records for each.

* Prepares weekly bank deposit. Reconciles bank monthly statements.

* Composes correspondence, reports, publications, and presentations including editing and proofreading. Creates and maintains spreadsheets and databases. Provides support for research leaders in word processing to facilitate manuscripts, abstracts, reports, tables and letters.

* Assists with binding booklets and preparing posters as necessary.

* Prepares and submits travel requests and reimbursements via Concur for staff as appropriate.

* Operates graphic scanner, copy machine, fax machine, laminating machine, etc.

* Assists in maintaining files for research leaders.

* Creates, copies and distributes Center Calendar of Events each month.

* Enters raw data into computer software program as requested.

* Assists with special clerical jobs as needed.

* Receives and delivers messages when appropriate.

* Maintains and operates postage meter.

* Receives all deliveries and enters them into receiving log; notifies recipient.

* Must be personable and able to receive our customers as well and meet their needs.

* Other duties as assigned.

Required Qualifications:

* High school diploma or equivalent combination of education and experience.

* Two years of related experience.

* Knowledge of word processing, spreadsheets, presentation and database applications.

* Ability to multitask and work cooperatively with others.

* Strong verbal and written communication skills

* Ability to work with sensitive information and maintain confidentiality.

* Strong interpersonal and organizational skills.

* Must be personable and able to meet customers as well as meet their needs.

* Ability to organize work effectively and prioritize objectives with a high level of discretion and independent judgment and initiative.

Preferred Qualifications:

* Associate or bachelors degree.

* Five years of related experience.

* Experience in higher education.

* Experience with Concur and Microsoft Teams.

* Strong background in word processing.

* Excellent verbal, written, and electronic communication skills.

* Ability to effectively use personal computer to communicate.

What You Need to Know

Salary: $17.44 per hour or higher. Compensation for this position is commensurate based on the selected candidate's qualifications.
