The Administrative Assistant provides a range of diversified and confidential administrative support services to the U.S. Commercial Service and Indirect Procurement Support teams within the Legal Department. This role will provide administrative support through comprehensive knowledge of organizational policies, practices and procedures, and assembles, prepares and distributes a variety of confidential information. Reports administratively to Deputy General Counsel, Commercial Services and expected to coordinate operationally with three Commercial Group Leads.
As a Administrative Associate, you will
* Manage calendars (meeting scheduling/coordination/preparation as needed), as well as domestic & international travel arrangements and expense reporting (including visa, permits).
* Coordinate, prepare and version control of various documents, reports, contracts and presentations for attorneys and paraprofessionals within group;
* Develop and implement systems and methods for efficient management of office operations (e.g., establish and maintain filing systems, ensure incoming and outgoing mail are handled properly and urgent items are addressed promptly);
* Be responsible for invoice processing (Workcycle) and assisting with eBilling (Ascent) related to legal matters. This includes opening new matters, preparing and sending out retention letters, processing payment requests, uploading invoices, and uploading supporting documents to matters;
* Assist with Contract Management systems (ICM); interface with Business Unit Contract Administrators;
* Handle the needs of the teams (new hire onboarding, order office supplies, etc.); and managing project and special requests as needed.
This position is one of several such positions within the Legal Department and providing back up coverage and coordinating on consistent best practices is essential.
If you...
* Have a High School Diploma or equivalent and 5+ years of administrative experience in a corporate or law firm environment.
* Are Highly proficient in MS Office Suites software, including Outlook, PowerPoint, Excel and are also flexible and open to learning new technologies to improve efficiency. Experience in using SAP a plus.
* Have excellent verbal and written communication skills and the ability to work under minimal supervision, as well as in a team environment.
* Are multi-task oriented and able to manage tight deadlines, have excellent organizational skills and attention to detail as well as excellent interpersonal skills to efficiently assist internal / external customers.
* Demonstrate ability to handle confidential information appropriately and can interact effectively with all levels of personnel.
* Are a self-starter, able to thrive in a fast-paced environment and to coordinate and prioritize diverse activities to meet critical deadlines.
