17th December, 2024Our client in Buffalo, NY is looking for an Administrative Associate to join their team.This is an onsite/full-time/contract-to-hire position.Hourly based on experience: Up to $20/HRThe Administrative Associate will have comprehensive knowledge of the general operations and be capable of being assigned to various tasks while working under minimal supervision. The Administrative Associate must be detail-orientated, a fast learner, an excellent communicator, and be able to escalate concerns as needed.The position will also assist in general administrative and financial services/accounting support where needed, including backup support to other positions.Responsibilities
  • Establish new and revise existing accounts in the centralized accounting system.
  • Establish and update vendors in a centralized accounting system.
  • Set up and review general ledger requests in the centralized accounting system.
  • Maintain data within the centralized accounting system.
  • Assist departments in a variety of administrative, accounting, and support functions.
  • Provide coverage of job responsibilities for team members who are away.
  • Provide administrative support to the management team as requested.
  • Provide back-up support to the Front Office and Administrative Assistant position.
  • Provide backup support to the Revenue Operations department by accepting deposits, including counting cash and providing receipts.
  • Perform other related tasks as assigned.
Examples of work include, but are not limited to:
  • Establish new and revise existing accounts, vendors, and fund grants inthe AccuFund accounting system.
  • Enter and update classification information within the AccuFund accounting system.
  • Scan vendor and grant item documentation to the AccuFund accounting system.
  • Assist with mailings, scanning, filing, and data entry for departments as requested.
  • Open and distribute incoming mail when the Front Office and Administrative Assistant are away.
  • Organize and mail daily gift receipts for the Revenue Operations department on an as-needed basis.
Qualifications
  • Education/Experience: Associate's degree or equivalent experience. Ability to accurately enter and maintain complex data. Experience working in an accounting/business office. Experience working in a higher-education environment is preferred.
  • Technical Skills: Proficient in the use of Microsoft Word, Microsoft Excel, and Microsoft Outlook.
