Department

The Learning Systems Institute is seeking an Administrative Associate to serve as an LSI HR Department Representative.

Responsibilities

This position will serve as the departmental HR representative, preparing and processing HR transactions, ensuring accurate submission of documentation, and coordinating HR activities related to hiring, appointments, payroll, and reporting.

Responsibilities include:

* Create and submit offers in OMNI, track HR actions, and assist in maintaining the departmental roster in Excel.

* Serve as a point of contact for Principal Investigators (PIs) on grants and supervisors, providing information on and appointment procedures for employees.

* Ensure compliance with regulations for international employees, including obtaining work authorization and completing necessary screenings and import/export control processes.

* Support new employees through the onboarding process, assisting with the completion and submission of documentation, and providing support for obtaining keys, equipment, FSUID, email, access to OMNI, and other FSU systems.

* Collaborate with supervisors, PIs, and the budget manager to ensure proper allocation of funding for employee appointments.

* Create and submit ePAFs in OMNI for appointment extensions or changes, as well as pPAFs as needed.

* Monitor HR actions to ensure all approvals are obtained and transactions are processed.

* Maintain accurate and organized departmental personnel and project files.

* Create new positions for the department as needed and ensure efficient maintenance of departmental position numbers.

* Create and submit job postings to be advertised on FSU's careers website, coordinating external advertising if requested.

* Act as a secondary contact for FACET-related inquiries and provide support within the department.

* Act as a supplemental time entry monitor at the end of pay periods and assist with the accurate processing of payroll.

* Assist with purchasing and travel requests as needed, including inputting requisitions through SpearMart for faculty and staff, and following up on travel requests and expense reports to ensure timely approvals.

* Perform general administrative tasks, including mailings, correspondence, record-keeping, filing, and research to support faculty and other staff members.

Qualifications

High school diploma or equivalency and four years of experience related to the duties of this position. (Note: A combination of post-high school education and experience equivalent to four years is also acceptable.)

Preferred Qualifications

* Experience in OMNI.

* Experience with general accounting, budgeting, disbursement, and reporting procedures.

* Strong organizational, problem-solving, and time-management skills, with the ability to prioritize tasks effectively and perform assigned responsibilities with minimal to moderate supervision.

* Proficiency in Microsoft Word, Excel, Outlook, or comparable software.

* Excellent interpersonal skills with the ability to communicate effectively, both verbally and in writing.
