Job Description The Sandra Day O'Connor College of Law seeks a dynamic individual to support the Office of Career and Employment Services and act as first point of initial contact for the office. The administrative assistant will report to the assistant dean and execute a variety of office Administrative and/or secretarial support activities such as correspondence, phones, scheduling (Meetings, workshops, career events, student appointments), and maintain the office calendar. General office duties including: ordering supplies, completing and tracking purchase order Requests/bills, maintaining office equipment and assisting with budget preparation. This position will also support the career advising program for the office including: use of databases for tracking student contact through appointments, drop-in traffic, and advising programs; and assist with the administration of career services programming and events. Working Environment Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse. Required to stand for varying lengths of time and walk moderate distances to perform work. Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts. Ability to clearly communicate verbally, read, write, see and hear to perform essential functions. Use standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor and mouse), printer, fax, calculator, copier, telephone and associated computer/technology. Minimum Qualifications Four (4) years secretarial/administrative experience; OR, Certificate in Secretarial Science AND three (3) years of secretarial/administrative experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.   • Experience working with CRM software in a career services environment.
  • Experience working in a higher education environment (ASU experience preferred)
  • Experience using Microsoft Excel, Word and database
  • Evidence of high attention to deal and critical thinking skills
  • Experience working with confidential information
  • Experience working in a fast paced, high volume office environment with constant deadlines and changing priorities
  • Experience in developing and maintaining cooperative working relationships with others
  • Evidence of effective communication skills, including composition, grammar, spelling and proofreading skills

  • Confers with and advises staff, students and others to provide technical advice, problem solving assistance, answers to questions, program goals, and policy interpretation; refers to appropriate department person when unable to respond.
  • Coordinates activities of program with inter-related activities of other programs, departments or staff to ensure optimum efficiency and compliance with appropriate policies, procedures and specifications.
  • Utilizes CRM software to prepare periodic reports, financial statements and records on program activities, progress, status or other special reports for management or outside agencies.
  • Evaluates program effectiveness to develop improved methods; devises evaluation methodology and implements; analyzes results and recommends and/or takes appropriate action.
  • Develops, compiles, and writes communications and promotional literature for distribution such as newsletters, brochures or flyers; coordinates process from development through printing and distribution.
  • Coordinates workshops, meetings or conferences, scheduling and participant communications.
  • Interacts and maintains liaison with students, faculty, staff and outside/community agencies.
  • Physical presence at the workplace is an essential function or requirement of this job.
  • Perform other duties as assigned to support the goals of the department and/or ASU.
