The ideal candidate will be proficient in Microsoft applications and basic computer and website use, providing essential administrative and clerical support to both federal employees and contractor staff.Primary Responsibilities:Administrative Support:
- Perform basic administrative and clerical tasks to support FOHS staff, ensuring the smooth operation of regional offices.
- Answer telephones, direct calls to the appropriate individual within the office, and take messages as needed.
- Manage incoming and outgoing correspondence, including sorting mail, managing emails, and preparing documents for distribution.
Visitor Management:
- Receive visitors, ensuring they are greeted professionally and escorted to the appropriate office or conference room.
- Follow specific building regulations for visitor management, including logging visitor information and adhering to security protocols.
Travel Coordination:
- Arrange travel for staff, including booking flights, accommodations, and transportation.
- Enter travel information into the appropriate databases, ensuring that all travel arrangements comply with organizational policies and procedures.
Additional Responsibilities:
- Maintain office supplies and order new supplies as needed.
- Assist with scheduling meetings, coordinating conference room availability, and preparing meeting materials.
- Provide general clerical support, such as filing, data entry, and photocopying.
Location: This position is based in a regional office within the Federal Occupational Health Services network, with potential for occasional interaction with other regional offices and headquarters.Qualifications
