The department is passionate about their staff and customers and is a great place to work! This position provides clerical and customer support in a fast paced office requiring individual judgment, initiative, and specialized knowledge. Please be advised this position is based at the Bay Beach Wildlife Sanctuary and the successful candidate will need to be comfortable interacting with animals.   • Performs customer service duties, including greeting customers, and responding to and directing walk in, phone, and website inquiries.
  • Registers customers for instructional classes and various programs and creates reports for supervisors. Schedules reservations, responds to inquiries, and mails permits, Wildlife Sanctuary programs, and room rentals. Handles related liability insurance needs for rentals.
  • Receipts monies associated with Park, Recreation and Forestry Department program registrations, facility reservations, pool passes, tickets, and point of sale merchandise transactions using a computerized system (RecTrac). Performs daily receipting and cash drawer reconciliation.
  • Updates department program materials including flyers, press releases and website and distributes as necessary.
  • Handles a wide variety of basic clerical duties.
  • Works with staff to improve customer friendly programs and processes. Trains other employees as needed.
  • Performs inventory duties for department supplies and materials.
  • Provides administrative support to the Superintendent as needed.
  • Performs other duties as assigned.
Minimum Qualifications Required
  • High school diploma or equivalent.
  • Successful completion of post high school courses in Administrative Professional or related field desirable.
  • Three or more years of full-time office experience, including customer service, data entry, usage of computerized systems and software, and money receipting.
A combination of equivalent experience and/or education may be considered. Knowledge, Skills & Abilities
  • Good knowledge of basic office procedures and office equipment. Working knowledge of business English, spelling, punctuation, grammar and general filing procedures.
  • Skill and ability to operate a variety of office machines. Good skill in performing basic mathematical computations, cash handling, and bookkeeping procedures.
  • Ability to provide excellent customer service. Ability to prioritize and multi task duties in a fast paced environment. Ability to proficiently utilize a computer and the required software. Ability to follow oral and written instructions and communicate effectively both orally and in writing. Ability to establish and maintain effective working relationships with staff and the public.
  • Ability to work the required hours of the position.Physical Requirements

  • Lifting and carrying up to 20 pounds.
  • Frequent standing and sitting.
  • Ability to focus for long periods of time on projects.
  • Ability to stoop, reach and lift.
