We sponsor interdisciplinary research on the entire range of private pension and social security programs, as well as related benefit plans in the United States and around the world.The Boettner Center is seeking a dynamic and detail-oriented Administrative Coordinator to provide high-level support across a variety of administrative and project management tasks. This role is essential in helping the Center's leadership-Executive Director and Associate Director-run smoothly and efficiently. The ideal candidate will have strong organizational skills, a proactive attitude, and the ability to multitask while maintaining a high level of accuracy.Job DescriptionAs the Administrative Coordinator, you will play an integral role in supporting the Center's daily operations. You'll assist with administrative tasks, support financial transactions, and administer the Center's online presence and communications. Your key responsibilities will include:
  • Administrative Support: Provide essential administrative assistance to the Executive Director and Associate Director, including drafting correspondence, answering phone inquiries, directing emails, managing mail, and organizing office supplies. You'll also maintain filing systems, archives, and office keys. Provide comprehensive support across all areas of the Center, including photocopying, scanning, shipping, and handling various office tasks as needed.
  • Fundraising & Donor Relations Support: Collaborate closely with the Executive Director and Wharton External Affairs to assist with the Center's annual fundraising campaign. This includes scheduling donor calls, drafting letters, sending follow-ups, and tracking funds.
  • Website & Social Media Coordination: Keep the Center's website and social media platforms up to date by adding new content such as working papers, book chapters, news, and videos. You will also help draft and distribute the biweekly newsletter and share publications with Board Members and Partners.
  • Financial Transactions & Reconciliation: Assist with processing financial transactions, including travel reimbursements, vendor payments, check processing, and gift tracking. You will assist with monthly financial reconciliations and support the Center during its annual audit.
  • Event Coordination: Play a key role in coordinating the Center's annual Symposium and biannual board meetings. Your duties will include ordering conference materials, organizing gifts, preparing meeting materials, coordinating location and catering, and assisting with event logistics. You will also support the Lead Administrator during the annual publications process by proofreading, editing, and ensuring documents are formatted according to publisher's standards.
Qualifications:High School Grad/GE Degree and 5-7 years of experience or an equivalent combination of education and experience are required. A bachelor's degree and 1-2 years of administrative experience is preferred.
  • Prior experience in higher education or a non-profit setting.
  • Strong verbal and written communication are required.
  • Must be skilled in technical platforms and be willing to learn new ones. These platforms include Microsoft applications (outlook, word, excel, PowerPoint, etc.), Adobe Photoshop, InDesign, WordPress, and Access. Basic HTML is a plus.
  • Prior experience organizing events, managing logistics, and coordinating with vendors is a plus.
  • Strong organizational skills are necessary. Proven experience managing multiple tasks, prioritizing, and meeting deadlines efficiently.
  • Administrative support experience is crucial, including handling office supplies and maintaining filing systems.
  • Familiarity with processing financial transactions, including reimbursements and payments, is a plus.
